About The Position

Assistant to WME’s Senior Policy & Political Advisor. This role provides direct administrative support, organizes meetings, interfaces with clients, coordinates internal processes, and supports department events and projects. The Assistant will manage calendars, inboxes, expenses, prepare meeting materials, take notes, and maintain contact lists. They will also assist with research and client-facing memos, ensuring department files are up-to-date and supporting end-of-day meetings with their boss.

Requirements

  • Four-year college degree
  • Excellent organizational and time management skills, with the ability to balance competing priorities in a fast-paced environment.
  • Proficiency with Outlook, Microsoft Office Suite (& Google equivalents); Zoom; Familiarity with AI platforms such as OpenAI, Claude, Gemini.
  • Strong communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
  • Consistent, dependable, and accurate in completing tasks, showing up to meetings, and managing the calendar.
  • Meticulous attention to detail and a commitment to maintaining confidentiality.
  • Strong problem-solving, critical thinking, and analytical skills.
  • Ability to work independently and collaboratively as part of a team.

Responsibilities

  • Provide direct administrative support, including calendar management, inbox oversight, scheduling, and expenses.
  • Organize and prepare agendas, materials, follow-up notes, and action items for meetings.
  • Attend meetings and take notes when requested.
  • Interface with clients and client teams professionally, promptly, and with prioritization.
  • Coordinate and manage internal processes and ensure department files and shared documents are up to date.
  • Prep for end-of-day (EOD) meetings with your boss; review to-do’s, pinned and flagged emails, schedule and run through meeting approvals.
  • Provide event support for department activations: book conference rooms, print materials, order catering, greet externals, and act as the primary point of contact for visitors.
  • Track, maintain, and update contact lists.
  • Support on project-based needs and deliverables, including research and client-facing memos.
