PRIMARY JOB RESPONSIBILITIES: Oversee and/or process day-to-day administrative items per supervisor's authorization, i.e. document control, data entry, expense reports, supply requisitions, incoming mail, update vendor contact list, take and distribute meeting minutes as requested, etc. Manage shared Procurement mailbox and direct calls/emails accordingly; screen phone calls/solicitors per supervisor's instructions; handle routine items, pass others on to supervisor. Train office personnel on new policies/procedures/software as requested. Perform additional assignments per supervisor's direction. Book travel accommodations. Additional duties as assigned including assisting others on an as needed basis. Assistance updating reports Verify vendor NDA completeness. Assist with vendor prequalification process. Assist with vendor setup with accounting. Help research problems with invoices and help process invoices in pvault. Maintain vendor files in Egnyte. Track and help manage lien waivers. Arrange team lunches and activities. EDUCATION & EXPERIENCE REQUIREMENTS: High School Diploma or GED, Some college helpful. Minimum of two years administrative experience with preference given to construction experience.
