About The Position

Under general supervision, provides comprehensive clerical and administrative support to the Parks and Recreation Department. This position serves as a primary point of contact for the public, assists with departmental operations, and supports staff in daily administrative functions. Answer and route telephone calls, respond to inquiries, and assist the public in a courteous and professional manner. Receive, document, assign, and track service requests from initial contact through completion. Coordinate rental of City of Pasadena facilities for internal and external users utilizing the RecDesk system. Handle cash transactions, reconcile funds, and prepare deposits in accordance with City policies. Place departmental orders for goods and services using approved purchasing methods and in compliance with Purchasing guidelines. Verify receipt of goods and services and submit required documentation for vendor payments. Serve as custodian of petty cash, ensuring accurate balances and requesting replenishment as needed. Track compensatory time for overtime-exempt personnel. Act as payroll coordinator for assigned departmental divisions. Prepare departmental agenda requests and monitor their status through completion. Maintain and update personnel files, ensuring accuracy, confidentiality, and compliance with recordkeeping standards. Accurately take and deliver messages in a timely manner. Assist with the development and maintenance of departmental policies and procedures. Record notes and minutes during departmental meetings. Process facility rental deposit refunds accurately and in a timely manner. Serve as department administrator for City of Pasadena purchasing cards. Must have and maintain, without interruption, all necessary licenses, certifications, clearances, and/or job requirements. Work the assigned schedule and comply with City timekeeping and attendance policy. Other duties as assigned by supervisor.

Requirements

  • High school diploma or equivalent.
  • Minimum 2-3 years of clerical or secretarial experience or an equivalent combination of education and experience

From 21 to less than 26 years of service - five weeks of vacation per year. From 26 years of service and up - six weeks of vacation per year.
