About The Position

Schweiger is a leading dermatology practice with a significant national presence, offering comprehensive medical, cosmetic, and surgical dermatology and allergy services. This full-time Assistant General Manager position is based in our Boca Raton, FL office and is responsible for overseeing the office, its teams, and operational processes to enhance performance and build a capable team.

Requirements

  • 2+ years as a Medical Assistant/RN role with Leadership Experience
  • Ability to Take Initiative
  • Strong Communication Skills
  • Experience with EMR
  • Strong Problem-Solving Skills
  • Working knowledge of HIPAA & OSHA compliance

  • Understanding of MA and PC roles sufficient to fill in as needed
  • Experience with Mohs surgery operations (if applicable to the office)

Responsibilities

  • Develop a high-performing team that delivers excellent operational outcomes and processes.
  • Foster a positive culture with a high Net Promoter Score (NPS) for providers and staff.
  • Act as a stable operations leader, achieving Key Performance Indicators (KPIs) such as financial collections, no-show rates, and provider utilization.
  • Optimize operational processes to meet goals, including staffing percentages and budget adherence.
  • Collaborate effectively with other company departments and teams to achieve successful results.
  • Drive key change and transformation initiatives aligned with organizational strategic goals.
  • Audit Standard Operating Procedures (SOPs) and ensure compliance at all office levels.
  • Support providers and coach/develop staff to ensure they are high performers.
  • Hold the team accountable for C.A.R.E Core Habits.
  • Build a capable and competent office team in collaboration with various departments (Operations, HR, Billing, Accounting, IT, Marketing, PSC, providers, and other offices).
  • Develop the office team cost-effectively and build a knowledge base across all disciplines.
  • Provide a strong culture of continued education and training for all staff members.
  • Manage, develop, and coach Practice Coordinators (PCs) and Medical Assistants (MAs).
  • Ensure strong accountability for office SOP compliance through consistent auditing and follow-through.
  • Achieve monthly office goals set forth by the General Manager (GM) Report and KPIs.
  • Track financial and patient satisfaction goals, including no-show rates, financial balance collection, inventory tracking, auditing check-in/check-out procedures, patient satisfaction, and follow-up rates.
  • Ensure staffing, medical supplies, and office supplies meet or are below plan.
  • Promote a culture of positivity and contribute to the company's long-term sustainability.
  • Obtain high levels of patient satisfaction, aiming for a Net Promoter Score (NPS) above 82 or a specific office goal.
  • Respond daily to NPS results for promoter and detractor scores.
  • Review NPS themes per office and provider team, implementing action plans as needed.
  • Ensure all patient messages are resolved within 24 hours, with daily updates until resolution.
  • Achieve and maintain high external review ratings (e.g., 15 4/5 Star reviews on Yelp/Google).
  • Ensure smooth office operations and site-level autonomy.
  • Minimize provider and staff complaints.
  • Enable the office to run autonomously daily, with most problems resolved independently.
  • Create a positive and respectful office environment.
  • Ensure all biopsies or labs from over two weeks ago are closed out and acted upon.
  • Reconcile collections and manage deposits per SOP.
  • Understand MA and PC roles sufficiently to fill in as needed.
  • Maintain regular communication with providers and involve them in office decisions for team alignment.
  • Ensure all office appointments for two days ahead are checked for accuracy and corrected if inaccurately scheduled.
  • Assist in staff scheduling management and provider scheduling data entry for payroll.
  • Assist in staff recruitment and interviews.
  • Provide AGM support at other offices in the geographical region if needed.
  • For offices with Mohs surgery: ensure Mohs cases are done in-house through provider-provider referrals unless otherwise requested, maintain up-to-date CLIA certification and lab directorship, ensure Mohs staff are properly credentialed and trained, and set up post-care concerns for Mohs to go directly to the surgeon.
  • Perform other duties as assigned by the supervisor.
