Requirements

  • 2+ years as a Medical Assistant/RN role with Leadership Experience
  • Ability to Take Initiative
  • Strong Communication Skills
  • Experience with EMR
  • Strong Problem-Solving Skills
  • Working knowledge of HIPAA & OSHA compliance

Responsibilities

  • Develop a capable and competent Office Team that delivers high-level operational outcomes and processes.
  • Foster a culture of positivity and achieve a Net Promoter Score (NPS) for providers and staff above 82.
  • Act as a stable operations leader, achieving Key Performance Indicators (KPIs) such as financial collections, no-show rates, and provider utilization.
  • Optimize operational processes to meet goals, including staffing percentages and budget adherence.
  • Collaborate effectively with other company departments and teams to achieve successful results.
  • Drive key change and transformation initiatives aligned with organizational strategic goals.
  • Audit Standard Operating Procedures (SOPs) and ensure compliance at all office levels.
  • Support providers and coach/develop staff to ensure they are high performers.
  • Hold the team accountable for C.A.R.E Core Habits.
  • Build a knowledge base across all disciplines and provide a strong culture of continued education and training.
  • Assist in managing, developing, and coaching Practice Coordinators (PCs) and Medical Assistants (MAs).
  • Achieve monthly office goals and KPIs, tracking financial and patient satisfaction goals.
  • Ensure staffing, medical supplies, and office supplies are within or below plan.
  • Promote a culture of positivity and contribute to the company's long-term sustainability.
  • Obtain high levels of patient satisfaction, aiming for a Net Promoter Score above 82.
  • Ensure all patient messages are resolved within 24 hours, with daily updates provided.
  • Achieve 4.5/5 Star external reviews (Yelp/Google).
  • Ensure smooth running office operations and site-level autonomy, resolving most problems independently.
  • Create a positive and respectful office environment.
  • Ensure all biopsies or labs over two weeks old are closed out and acted upon.
  • Reconcile collections and manage deposits per SOP.
  • Understand MA and PC roles sufficiently to fill in as needed.
  • Maintain regular communication with providers and involve them in office decisions.
  • Ensure all office appointments for two days ahead are checked for accuracy and corrected.
  • Assist in staff scheduling management and provider scheduling data entry for payroll.
  • Assist in staff recruitment and interviews.
  • Assist as AGM at another office in the geographical region if needed.
  • For offices with MOHs, ensure MOHs cases are done in-house, CLIA certification and lab directorship are up-to-date, MOHs staff are credentialed and trained, and post-care is directed to the surgeon.
  • Perform other duties as assigned by supervisor.
