Requirements

  • Previous condominium, HOA, property management, or administrative experience preferred.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office, spreadsheets, and property management software.
  • Ability to maintain confidentiality and handle sensitive Association matters professionally.
  • Knowledge of Florida condominium operations and governing documents preferred.

Nice To Haves

  • Active Florida CAM License preferred or ability to obtain within a designated timeframe.

Responsibilities

  • Supports the General Manager in daily operations of community associations, ensuring professional services and outstanding customer satisfaction in line with the service level agreement and the company's guiding principles.
  • Collaborates closely with the CAM, DCAM, Board of Directors, developer, and/or builder to support community operations, resolve issues, promote community harmony, enforce deed restrictions, and enhance the value of each community.
  • Assists with operational coordination, resident communications, records management, meeting preparation, vendor coordination, and administrative compliance in accordance with Florida Statute Chapter 718 and the Association’s governing documents.
  • Responds to resident inquiries and provides customer service support to owners, residents, vendors, and guests.
  • Assists with the preparation and distribution of community notices, correspondence, and operational communications.
  • Maintains organized digital and physical Association records and files.
  • Coordinates and processes official records requests in accordance with Florida Statute Chapter 718 and Association procedures.
  • Assists with document retention, scanning, digital filing, and web archiving of Association records and meeting documents.
  • Ensures meeting notices, agendas, affidavits, and postings are prepared and distributed within statutory deadlines.
  • Maintains compliance logs, tracking spreadsheets, and administrative reports.
  • Assists with preparation of Board meeting agendas and meeting packets.
  • Coordinates meeting room setup, sign-in sheets, attendance tracking, and proxy collection.
  • Assists with annual meeting preparations, election materials, and owner voting documentation.
  • Attends Board and committee meetings as requested and assists with follow-up items and action tracking.
  • Obtains and organizes vendor proposals, bids, and supporting documentation for management and Board review.
  • Coordinates scheduling with contractors, vendors, and service providers.
  • Tracks project timelines, proposals, and operational tasks using spreadsheets and management software.
  • Processes and routes invoices through the Association’s online approval system.
  • Assists with purchase orders, work order tracking, and vendor documentation.
  • Maintains spreadsheets related to projects, violations, inventory, records requests, contracts, and operational tracking.
