About The Position

Oaklawn is seeking a talented individual to become an Assistant Front Office Manager. This role is responsible for directly supervising all front office personnel and ensuring the proper completion of all front office duties. The Assistant Front Office Manager directs and coordinates the activities of the front desk, reservations, guest services, and related areas, with a focus on continuous team member training to provide consistent exceptional guest service. The ideal candidate will enthusiastically support, actively promote, and demonstrate superior customer service, maintain strict confidentiality, and provide impeccable guest service. This position requires the ability to drive revenue through exceptional salesmanship and by inspiring others to achieve revenue goals, while working within the allocated budget for the front office. The Assistant Front Office Manager acts as the Hotel’s Administration representative in the absence of the Front Desk Manager, supervises workload during shifts, and reviews daily front office work and activity reports. They are responsible for enforcing all cash-handling, check-cashing, and credit policies, upholding the hotel's commitment to hospitality, preparing performance reports, and ensuring the implementation of all hotel policies and house rules. Additionally, they ensure the timely and professional logging and delivery of all messages, packages, and mail, and that employees are always attentive, friendly, helpful, and courteous to all guests, managers, and other employees. Monitoring all VIPs, special guests, and requests is also a key responsibility.

Requirements

  • Must be at least 21 years of age.
  • Bachelor’s Degree in hospitality management or related field required.
  • Minimum 3 years’ experience in hotel/hospitality operations required.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Must be able to handle several projects and tasks at the same time.
  • Must be able to perform the physical job duties of all Front Desk team members.
  • Must have the ability to interact with guests, staff and colleagues and resolve problems and conflicts in a diplomatic and tactful manner.
  • Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to read and communicate verbally in English.
  • Written communication skills in English may also be required.
  • Employee must be able to qualify for licenses and permits required by federal, state and local regulations.
  • All applicants must complete a pre-employment drug screen and background check.

Responsibilities

  • Directly supervising all front office personnel and ensuring proper completion of all front office duties.
  • Directing and coordinating the activities of the front desk, reservations, guest services, and related areas.
  • Providing continuous team member training to provide consistent exceptional guest service.
  • Training, cross-training, and retraining all front office personnel.
  • Scheduling the front desk staff.
  • Acting as the Hotel’s Administration representative in the absence of the Front Desk Manager.
  • Supervising workload during shifts.
  • Reviewing daily front office work and activity reports generated by Night Audit.
  • Driving revenue through exceptional salesmanship and by inspiring others to achieve revenue goals.
  • Working within the allocated budget for the front office.
  • Receiving information from the previous shift supervisor and passing on pertinent details to the oncoming supervisor.
  • Enforcing all cash-handling, check-cashing, and credit policies.
  • Upholding the hotel's commitment to hospitality.
  • Preparing performance reports related to front office.
  • Ensuring implementation of all hotel policies and house rules.
  • Ensuring logging and delivery of all messages, packages, and mail in a timely and professional manner.
  • Ensuring that employees are, at all times, attentive, friendly, helpful and courteous to all guests, managers and other employees.
  • Monitoring all VIP's, special guests and requests.
  • Following established procedures and policies of the Oaklawn Racing Casino Resort.
  • Responsible for staff development and training programs.
  • Responsible for rewards and recognition program to maximize employee engagement.
  • Evaluating team members within department and delivering constructive feedback to employees in regards to performance.
  • Determining recommendation for staffing (including interviewing and hiring) and scheduling (planning, assigning and directing work) to meet business needs.
  • Determining work procedures and expediting workflow.
  • Responsible for employee performance (disciplining, coaching, counseling).
