About The Position

The Assistant Director of NYU Quantum Institute will serve as the operational backbone, ensuring the seamless execution of high-level academic and industry-facing initiatives. Manage all facets of the Quantum Institute, planning programming and events, navigating the complex scheduling of international visitors, overseeing research engagements, and acting as a primary point of contact for industry partners, program and event budgets. Work with the Director to conceptualize and implement new funded initiatives and fellowship opportunities, including assistance in grant making, budgeting, and identifying university resources to accommodate an increased number of visitors and events.

Requirements

  • Bachelor's Degree
  • 5+ years relevant administrative or project management experience, or an equivalent combination of education and experience
  • Managing budgets
  • Working with faculty and distinguished scholars to develop projects and events
  • Overall office and financial management
  • Excellent interpersonal, communication, customer service, and organization skills
  • Ability to solve problems and interact with individuals at all levels
  • Ability to work and communicate effectively with diverse stakeholders
  • Strong teamwork abilities and diplomacy skills
  • Attention to detail with ability to perform multiple tasks in a fast-paced environment
  • Strong professional writing skills for drafting proposals, reports, and industry-facing correspondence
  • Proficiency with modern scheduling tools, project management software, and virtual meeting platforms
  • Ability to handle sensitive research data and confidential partnership information with the utmost professionalism

Nice To Haves

  • 5+ years experience within a research university, a high-tech startup, or a scientific organization
  • Familiarity with the terminology of quantum information science or semiconductor physics
  • Experience with federal grant reporting systems and academic compliance standards
  • Previous experience in a role requiring heavy international coordination
