About The Position

The Assistant Director of Records (Transcripts and Scheduling) assists the Director in managing the Records and Advisement Office. This role involves efficient resource utilization, leading and training staff and student workers, and assuming directorial responsibilities in the Director's absence. The position is full-time and salaried.

Requirements

  • Bachelor’s degree or 6+ years in higher education specifically within a registrar's office.
  • Experience working with student records and large-scale databases.
  • Knowledge of the rules, regulations, and laws regarding student records.
  • Experience managing multiple projects within a rapidly changing environment.
  • Excellent computer literacy and understanding of student information system and student databases (e.g., Slate, Colleague, Kuali, TES, transcript evaluation software, Microsoft Office Suite).
  • Strong reading, math and analytical skills.
  • Ability to work with detailed information/data.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Ability to maintain confidentiality of records and information.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies.
  • Ability to operate standard office equipment.
  • Proven ability to exercise tact, diplomacy, and conflict resolution skills.

Responsibilities

  • Evaluates and articulates transfer credits for incoming undergraduate students (domestic and international), including initial evaluation at time of acceptance and final reevaluation and records updating and processing at time of registration.
  • Informs and advises current or prospective transfer and dual enrollment students regarding transfer credit guidelines and procedures.
  • Maintains software systems related to transfer equivalencies in collaboration with the Information Technology department.
  • Collaborates with department chairpersons and deans of schools to determine course transfer equivalencies to help ensure that credit is received, articulated, and posted in a consistent and timely manner.
  • Reviews Slate query for transfer students and recently received transcripts for recording.
  • Provides credit evaluations when requested for first-year students, including dual credit, Advanced Placement (AP), International Baccalaureate (IB), Seal of Biliteracy, Global Credential Evaluators (GCE), and American Council on Education (ACE) Military Evaluations.
  • Collaborates with department chairpersons and deans of schools to update any additional AP, IB credits needed.
  • Creates and maintains the Records and Advisement Office transfer policy manual.
  • Acts as recording secretary for the Undergraduate Curriculum Committee.
  • Assists with the publication of the undergraduate catalog; preparing program pages, course listings, reviewing information for accuracy, and conducting follow-up with instructional and departmental divisions to resolve issues of concern.
  • Assists with coordination of the Kuali system, including maintaining and updating program/curriculum requirements and courses using the Kuali programming language.
  • Acts as a point of contact for annual training of faculty and staff on catalog changes and Kuali workflow in collaboration with the Information Technology department.
  • Manages undergraduate course scheduling and related software systems.
  • Serves on university committees as a representative of the Records and Advisement Office and works on special projects as needed.
  • Performs all other reasonably business-related functions as assigned.
