About The Position

Boston College is seeking an Assistant Director, Doctoral Program to provide customer service to approximately 25 doctoral students in the School of Social Work. This role supports the Chair of the Doctoral Program in furthering the program's mission by overseeing daily operations, including enrollment management, student services, curriculum and program management, communication, budget, and data management. The Assistant Director will interface with various university departments and utilize systems such as Slate, EagleApps, Institutional Awards, FileMaker, FolderWave, and Canvas. This position also supervises and trains graduate assistants.

Requirements

  • Bachelor’s degree required
  • 3-5 years supporting or coordinating an academic program
  • Strong organizational, interpersonal, and communication skills
  • Proficiency with Microsoft Office Suite (including Word, Excel, PowerPoint, and Access) required
  • Must be self-motivated, able to work independently and as part of a team, and possess the ability to manage work priorities and meet deadlines
  • Attention to detail is essential, as well as creative problem-solving skills

Nice To Haves

  • Master’s degree in Social Work, Education, Business Administration, or equivalent is preferred
  • Experience with Slate CRM or similar admissions software preferred

Responsibilities

  • Oversee daily operations of the School of Social Work Doctoral Program, including enrollment management, student services, curriculum and program management, communication, budget and data management.
  • Serve as the primary contact for prospective doctoral students, responding to inquiries, determining program fit, and coordinating admissions communications.
  • Manage the application process, including communicating with applicants, coordinating faculty reviewers, and preparing acceptance letters.
  • Oversee the recruitment process by updating promotional materials and webpages.
  • Develop registration materials and register students in SSW courses.
  • Advise students on program requirements, degree audits, and registration.
  • Coordinate activities that enhance student life and foster community, such as doctoral lunches.
  • Develop and manage new student orientation, including creating acclimation modules.
  • Coordinate all aspects of the Commencement reception for doctoral graduates.
  • Manage financial aid and doctoral fellowships, including forecasting tuition costs and awarding endowed fellowships.
  • Coordinate the matching process of new students with faculty mentors.
  • Assist international students with visa-related paperwork and troubleshooting.
  • Manage the PhD course schedule and create/update courses in EagleApps.
  • Assist faculty in creating new courses and submitting proposals.
  • Organize co-curricular activities such as faculty research lunches and professional development workshops.
  • Coordinate all aspects of the Area Statement and Dissertation processes, including guidelines, defenses, and data submission.
  • Communicate research and teaching opportunities to students and faculty, and coordinate matching for RA and TA positions.
  • Manage award processes, including calls for nominations and selection of recipients.
  • Provide support and oversight for the logistical aspects of the annual Graduate Research Symposium.
  • Distribute information to students via a weekly e-newsletter and maintain student and faculty listservs.
  • Coordinate doctoral committee meetings, including scheduling, agenda creation, and minute transcription.
  • Oversee tracking of student progress and troubleshoot performance issues, including academic probation and leaves of absence.
  • Maintain and update the Doctoral Program's web presence and Canvas sites.
  • Oversee annual updates to the Doctoral and Student guides and doctoral program procedures.
  • Meet with new faculty to discuss doctoral program policies and procedures.
  • Supervise and train graduate assistants.
  • Maintain FileMaker database with student information and prepare monthly statistics.
  • Prepare statistics on the PhD program for CSWE and CGS reports.
  • Assist in the preparation of materials for the re-accreditation process.
  • Maintain and update the alumni database and communicate with alumni.
  • Assist students with professional development, including job search process, mock interviews, and job talks.
  • Forecast and track the doctoral program budget, prepare financial reports, and manage travel grants.
  • Oversee the processing of stipends for research and teaching positions and manage the doctoral P card and purchasing.
