About The Position

The Village of Five Parks / The Depot is seeking an Assistant Community Manager to ensure the depot and surrounding areas, including the amphitheater, turf, pool, and promenade, are in good condition and appearance. This role involves monitoring maintenance, janitorial, and repair issues, reporting them to the Community Association Manager (CAM) and Assistant Community Association Manager (ACAM), and ensuring vendor staff meet contractual expectations. The position also includes managing depot rentals, resident inquiries, TownSq requests, and maintaining various logs and reports.

Requirements

  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
  • Knowledge of communities, property, real estate, and homeowners’ associations.
  • Knowledge of the role of the association board, the Community Association Manager, and how those roles interface with the requests of homeowners.
  • Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
  • Knowledge of conflict resolution techniques at a proficient level.
  • Professional customer service skills.
  • Ability to keep workspaces organized and maintained.
  • Ability to self-motivate, be proactive, detail-oriented, and successfully function as part of a team.
  • Ability to maintain confidentiality and discretion.
  • Knowledge of company policies, procedures, and forms.
  • Must be able to work effectively with others in person and in group settings.
  • Must be able to prioritize, manage time, and meet deadlines.
  • Must be able to interpret verbal and/or written instructions at a proficient level.
  • Must be able to communicate effectively and professionally on phone, email, and in-person.
  • Must be able to operate general office equipment (copier, fax, phone systems, etc.).
  • At least one year of Customer Service experience is required.

Nice To Haves

  • Associates Degree strongly preferred.
  • At least one year of Community Association Management or relevant experience is preferred.
  • Experience with a high call volume is preferred.

Responsibilities

  • Monitor and report on maintenance, janitorial, and repair issues for the depot and surrounding areas.
  • Ensure janitorial services are performed adequately and report any deficiencies.
  • Maintain the cleanliness and organization of the depot, including furniture, entrances, and kitchen areas.
  • Oversee the cleanliness and condition of the fitness room, locker rooms, and restrooms.
  • Monitor the Issues & Concerns Log and report issues to the Manager.
  • Verify trash removal by vendors in pool and amphitheater areas.
  • Assist residents with questions and concerns.
  • Manage TownSq requests, including DRC submissions and announcements.
  • Handle all reservations for the Depot, including check-in/check-out procedures.
  • Fill out appropriate logs and charge rental fees/deposits.
  • Ensure rental areas are clean and ready for the next rental.
  • Coordinate with the cleaning crew for additional services.
  • Maintain all depot rental calendars and coordinate with clubs/charters.
  • Maintain monthly Depot usage reports.
  • Order and maintain supplies for the office, Depot building, and gym.
  • Manage Fobs for the Gym/pool.
  • Oversee opening/closing of gates/doors, including pool closures and maintenance.
  • Maintain contact information for board members, associations, resident contacts, and vendors.
  • Coordinate with all other associations.
  • Assist with backflow testing.
  • Help maintain the Master website.
  • Work with the Social Committee for events.
  • Create flyers for Master-hosted events.
  • Send received invoices to the designated email address and cc the Manager.
  • Apply rock salt to Depot sidewalks when needed.
  • Oversee Square reports and transactions for rental fees and fobs.
  • Review camera footage as needed and call for service if required.
  • Perform tasks as assigned by the Manager.
