About The Position

The Assistant Community Manager supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and reporting tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management system to record, track, and report on all financial workings of the property. This role also supports leasing and marketing efforts to achieve revenue and occupancy goals, handles daily financial transactions, reviews and submits vendor invoices, analyzes market trends, enforces lease agreements, manages client/owner relationships, oversees contractor and vendor management, promotes resident satisfaction, ensures property safety and appearance, and acts as the on-site supervisor in the absence of the Community Manager. Additionally, the Assistant Community Manager stays informed about market conditions, develops marketing plans, and performs other duties as assigned.

Requirements

  • High School Diploma or GED Equivalent
  • Property Management, Sales, Marketing, and Customer Service background sufficient to manage the day-to-day operation of an apartment community.
  • Advanced Communication, Presentation, and Delivery Skills with ability to connect to people at all levels.
  • Proficiency in internet, word processing, spreadsheet, and database management programs for reporting purposes.
  • Strong proficiency in property management software (preferably Entrata Yardi and/or One Site).
  • Current Valid Driver's License
  • Must be available to work on weekends when scheduled.
  • Must be able to perform the essential job functions unaccompanied.
  • Must be able to push, pull, lift, carry, or maneuver weights up to twenty (20) pounds independently and fifty (50) pounds with assistance.
  • Frequently required to stand, walk, reach with hands and arms, climb, stoop, and squat.
  • Intermittently required to sit and perform keyboard work.

Nice To Haves

  • Routine local travel may be required to run business-related errands including but not limited to meetings and training.
  • Non-local travel may be required for business-related responsibilities.

Responsibilities

  • Supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community.
  • Completes accounting and reporting tasks, prepares monthly close-out and financial reports, processes invoices for payment, collects rent, fees, and other payments, completes bank deposits, dispositions, and account reconciliations.
  • Uses the property management system to record, track, and report on all financial workings of the property.
  • Supports leasing and marketing efforts to achieve the property's revenue and occupancy goals by completing the full leasing cycle.
  • Reviews and submits invoices from vendors, contractors, and service providers for payment.
  • Gathers, analyzes, and interprets market and economic trends that may impact the property and recommends improvements.
  • Keeps informed of changes in technology, industry and standards, leasing and sales tools and processes.
  • Manages the lease enforcement process, including apartment inspections, evictions, collections, and notifications.
  • Conducts property tours and provides updates on property performance to clients/owners.
  • Manages contractor and vendor relationships.
  • Promotes resident satisfaction by establishing and maintaining relationships with residents and co-workers.
  • Is responsible for the safety, cleanliness, and general appearance of the property.
  • Reports any mechanical and electrical equipment malfunctions as well as employee/visitor/resident injuries or accidents.
  • Ensures property maintenance team complies with Company’s standards regarding service requests.
  • Acts as the on-site supervisor in the absence of the Community Manager by organizing and delegating daily work, coordinating maintenance and make-ready tasks, and managing the operation of the community.
  • Develops and implements short- and long-term marketing plans and goals to sustain occupancy.
  • Performs other duties as assigned.
