About The Position

The Assistant Community Manager is responsible for converting telephone and walk-in prospects into leases, thereby maintaining and increasing occupancy. This role also involves effectively communicating with existing residents to establish a successful renewal program. The position requires generating weekly/monthly reports, collecting and posting rents, and assisting the Community Manager with the coordination of daily community management activities according to established standards. Additionally, the Assistant Community Manager is responsible for collecting past due rents, including issuing late rent letters, filing for evictions, and following up with the collection agency. This role also supports office administrative needs such as general filing, reviewing and maintaining lease files, and managing computer records. A key aspect of the role is identifying and striving to meet resident needs.

Requirements

  • Must be able to communicate effectively with residents, staff, supervisors, vendors, etc.
  • Has the ability to apply common sense understanding to carry out basic written or oral instructions.
  • The ability to add and subtract two-digit numbers and to multiply and divide with 10’s and 100’s.
  • Ability to perform mathematical operations using units of American money and weight measurement, volume and distance.
  • Must pass drug test and background screening.
  • Successfully complete pre-employment psychological and basic skills exam, including interest patterns.
  • Must meet requirements for residency in the community for which they have applied.
  • Must have a reliable vehicle to perform errands, including daily bank deposits.
  • Must have proof of liability insurance.
  • Valid Driver’s License.

Nice To Haves

  • Two years of college preferred.
  • Microsoft Word, Microsoft Outlook, Microsoft Excel and OneSite knowledge preferred.

Responsibilities

  • Respond effectively to telephone inquiries to generate prospective resident visits to the property, maintaining a call to show ratio of at least 65%.
  • Show and demonstrate apartments, utilizing relationship skills to demonstrate market-ready product and availability to close prospects, maintaining a deposit to show ratio of at least 50%.
  • Follow-up with prospective residents.
  • Monitor telephone and walk-in traffic at the property and enter all forms of traffic into the software system daily.
  • Walk model tour route and open models daily to ensure quality presentation and, if necessary, sparkle clean vacant show units.
  • Visit competitors quarterly.
  • Complete the market survey weekly.
  • Assist with outreach marketing by visiting and connecting with local businesses.
  • Update and maintain social media accounts, including but not limited to, Facebook and Instagram.
  • Manage and optimize the property’s online reputation.
  • Assist Community Manager with resident retention, including contacting residents on the renewal expiration report each month.
  • Obtain lease information and complete lease applications, conduct required screening and reference checks on prospects, and ensure accuracy and completeness of all lease files.
  • Conduct move-in inspections with new residents.
  • Review the welcome packet with new residents in a timely manner.
  • Input daily activity into the management software program.
  • Prepare and process resident service requests.
  • Assist with resident issues and complaints concerning, but not limited to, rent payments, service requests, and matters pertaining to other residents.
  • Assist with the preparation of newsletters and promotion flyers.
  • Assist with the planning of community activities and events.
  • Attend all resident events unless absence is approved in advance by the Community Manager.
  • Collect, record, and deposit daily rental payments, application fees, administrative fees, and security deposits.
  • Assist in preparing weekly and monthly reports as required.
  • Assist in preparing timely legal action for evictions, as necessary.
  • Pass initial and annual Fair Housing Training Course and adhere to the timeline of assigned Grace Hill Vision courses.
  • During the absence of the manager, provide “in charge” responsibilities for the property and staff, including being “on call” 24 hours and managing/delegating the team for maximum performance.
