Requirements

  • Must have Florida CAM License - REQUIRED.
  • Bilingual required (Spanish / English).
  • Minimum 2-3 years in property management / community management experience in addition to other professional work experiences that demonstrate leadership capabilities.
  • Proven ability to effectively manage and lead a team.
  • Experienced in managing complex developer portfolios and relationships.
  • Strong understanding of community association business and financial statements.
  • Excellent organizational, time management, and communication skills.
  • High integrity, honesty, professionalism, and customer service orientation.
  • Excellent verbal and written communication skills, with the ability to effectively engage with both internal and external customers.
  • Proficiency in MS Office applications (Word, Excel, and Outlook).

Nice To Haves

  • Successful completion of M-100 and CMCA certification within one (1) year of hire or one (1) year of assignment to the position and maintain CMCA credential throughout employment.

Responsibilities

  • Provide support to the Onsite Community Association Manager (CAM) and management team in the delivery of contracted services to clients and homeowners.
  • Act in the stead of the CAM when the need arises and as authorized, addressing all management responsibilities and business matters utilizing discretion and judgment.
  • Independently prioritize work in coordination with respective teams to ensure completion of assigned work.
  • Prepare, draft, issue, and follow up on basic or routine RFPs (CAM must supply scope of work and have final approval).
  • Meet with contractors to discuss current or pending projects, grant access to facilities, or walk the community for contractor performance and satisfaction, utilizing independent judgment.
  • Order materials, supplies, signs, etc. and coordinate delivery and/or installation with proper delegation.
  • Inspect for onsite property damage as needed, evaluate potential costs for claims, and review vendor contracts for completion.
  • Issue, follow up, and close work orders with both contractors and owners.
  • Make recommendations for changes to management operations based on experience and professional judgment.
  • Tag vehicles for parking violations.
  • Oversee pool opening preparation and oversee vendor work to determine contract compliance.
  • Draft memos, letters, and surveys for review and approval by the CAM.
  • Emergency response during business hours using discretion and independent judgment.
  • Create a proposal comparison matrix with specifications using independent judgment.
  • Assist with insurance claim processing.
  • Oversee draft budget preparation, including research contract renewal rates, utility costs, and historical information.
  • Assist with customer service, client communications, vendor correspondence, and action items.
  • Act in the role of CAM when needed, including personnel and vendor management matters.
  • Attend at least quarterly meetings for each assigned Association (minimum 6-8 meetings per month unless fewer are scheduled).
  • Perform site visits in place of the Community Association Manager.
  • Perform resale inspections, covenants enforcement and annual inspections as necessary.
  • Track and report variable billing per the management agreement(s).
