About The Position

The Assistant Community Manager supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. This role involves completing accounting and reporting tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and utilizing the property management system to record, track, and report on all financial workings of the property. The position also supports leasing and marketing efforts to achieve revenue and occupancy goals, handles daily financial transactions, reviews and submits vendor invoices, analyzes market trends, enforces lease terms, manages client/owner relationships, oversees contractor and vendor activities, promotes resident satisfaction, ensures property safety and appearance, and acts as the on-site supervisor in the Community Manager's absence.

Requirements

  • High School Diploma or GED Equivalent
  • Property Management, Sales, Marketing, and Customer Service background sufficient to manage the day-to-day operation of an apartment community.
  • Advanced Communication, Presentation, and Delivery Skills with ability to connect to people at all levels.
  • Proficiency in internet, word processing, spreadsheet, and database management programs for reporting purposes.
  • Strong proficiency in property management software (preferably Entrata Yardi and/or One Site).
  • Current Valid Driver's License
  • Must be available to work on weekends when scheduled.
  • Must be able to perform the essential job functions unaccompanied.
  • Must be able to push, pull, lift, carry, or maneuver weights up to twenty (20) pounds independently and fifty (50) pounds with assistance.
  • Frequently required to stand, walk, reach with hands and arms, climb, stoop, and squat.
  • Intermittently required to sit and perform keyboard work.
  • Routine local travel may be required to run business-related errands including but not limited to meetings and training.
  • Non-local travel may be required for business-related responsibilities.

Responsibilities

  • Completing accounting and reporting tasks.
  • Preparing monthly close-out and financial reports.

  • Gathering, analyzing, and interpreting market and economic trends that may impact the property and recommending improvements.
  • Keeping informed of changes in technology, industry and standards, leasing and sales tools and processes.
  • Managing the lease enforcement process, including apartment inspections, evictions, collections, and notifications.
  • Conducting property tours and providing updates on property performance to clients/owners.
  • Meeting with clients as needed.
  • Managing contractors and vendors.
  • Promoting resident satisfaction by establishing and maintaining relationships with residents and co-workers.
  • Ensuring property safety, cleanliness, and general appearance and appeal.
  • Reporting any mechanical and electrical equipment malfunctions as well as employee/visitor/resident injuries or accidents.
  • Ensuring the property maintenance team complies with Company’s standards regarding service requests.
  • Acting as the on-site supervisor in the absence of the Community Manager by organizing and delegating daily work.
  • Coordinating maintenance and make-ready tasks with the maintenance supervisor.
  • Managing the operation of the community in compliance with Company policies, procedures, and business practices.
  • Staying informed about current market and competitor conditions that may impact the community's occupancy and sales results.
  • Developing and implementing short- and long-term marketing plans and goals to sustain occupancy.
  • Following the property's established policies related to concessions, specials, and other programs to boost occupancy.
  • Performing other duties as assigned.
