Requirements

  • Minimum of 3 years of community association management or related property management experience.
  • Minimum of 2 years of experience as an Assistant Community Association Manager or equivalent role preferred.
  • Demonstrated leadership, mentoring, or supervisory experience preferred.
  • Strong knowledge of community association management operations and customer service best practices.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Proficient in Microsoft Office Suite and community management software.
  • Ability to maintain confidentiality and exercise sound judgment.

Responsibilities

  • Serve as the primary day-to-day resource for ACAMs, providing guidance, coaching, and support.
  • Answer operational and procedural questions, providing experienced direction and ensuring consistency in service delivery.
  • Monitor ACAM workloads throughout the week to ensure requests, homeowner inquiries, architectural applications, and assigned tasks are completed within established service standards.
  • Proactively identify workload challenges and assist with prioritization to keep the team on track.
  • Foster a positive, collaborative, and solution-oriented team environment.
  • Review and approve weekly ACAM timecards for accuracy and compliance with company policies.
  • Conduct regular one-on-one check-ins with each ACAM to discuss workload, performance, goals, and development opportunities.
  • Provide ongoing coaching and constructive feedback to improve performance and efficiency.
  • Identify performance concerns early and partner with the DCAM to develop improvement plans when necessary.
  • Participate in weekly leadership meetings with the DCAM to review department priorities, staffing needs, and operational updates.
  • Lead weekly ACAM team meetings to communicate company updates, reinforce procedures, and share best practices.
  • Ensure important information is communicated consistently across the ACAM team.
  • Provide additional one-on-one or group training sessions as operational needs arise outside of regularly scheduled meetings.
  • Assist in onboarding and mentoring newly hired ACAMs.
  • Develop and reinforce departmental procedures, standards, and best practices.
  • Identify training opportunities to improve team efficiency and client service.
  • Participate in the ACAM interview process by evaluating candidates and providing hiring recommendations.
  • Assist in identifying candidates who demonstrate the skills, professionalism, and customer service mindset needed for success.
  • Assist with workflow management and resource allocation during high-volume periods.
  • Support department initiatives, process improvements, and special projects.
  • Collaborate with CAMs, Accounting, Architectural Services, Escrow, and other Shared Services departments to resolve operational issues.
  • Perform other duties as assigned.
