About The Position

The Assistant Director of Operations & Facilities serves as a key member of the Athletics Operations & Facility team and is responsible for supporting the planning, coordination, and execution of athletic events and facility operations for The University of Tulsa Athletics Department. This position assists in creating a first-class game day experience for student-athletes, coaches, fans, officials, and visiting teams while ensuring safe, efficient, and compliant operation of athletics facilities. It provides operational oversight for assigned sports and venues and supports facility scheduling, housing selection, event logistics, and capital improvement projects.

Requirements

  • Bachelor's degree in Sport Management, Business Administration, Event Management, Recreation, or a related field.
  • One (1) year of experience in athletics operations, event management, facility operations, or a related field.
  • Demonstrated organizational, project management, and communication skills.
  • Ability to manage multiple priorities and meet deadlines in a dynamic environment.
  • Proficiency with Microsoft Office Suite and event management technology platforms.
  • Ability to work evenings, weekends, holidays, and flexible hours as required by athletic events and department needs.

Nice To Haves

  • Master's degree in Sport Management, Business Administration, Higher Education, or a related field.
  • Experience working within NCAA Division I intercollegiate athletics.
  • Knowledge of NCAA, conference, and university policies and procedures.
  • Experience with facility scheduling software, event management systems, and operational budgeting.
  • Experience coordinating postseason or championship events.

Responsibilities

  • Lead game day operations for assigned athletic events and venues, ensuring successful execution from planning through post-event breakdown.
  • Develop and implement detailed event management plans, timelines, and operational procedures.
  • Coordinate staffing and logistics with internal and external partners, including event staff, custodial services, concessions, public safety, facilities management, medical personnel, and officials.
  • Assist with the day-to-day operation and stewardship of Athletics facilities.
  • Support the development and maintenance of facility schedules for practices, competitions, camps, special events, and external rentals.
  • Coordinate facility use requests and serve as a liaison with university departments and external groups utilizing Athletics venues.
  • Monitor facility needs and collaborate with campus partners to address maintenance, repair, and operational concerns.
  • Assist in the implementation of facility policies, procedures, and risk management practices.
  • Serve as a primary point of contact for visiting teams and game officials for assigned events.
  • Coordinate visiting team logistics, including facility access, practice schedules, locker room assignments, and game day needs.
  • Assist in the creation and maintenance of visiting team guides, operational manuals, and event information materials.
  • Foster positive relationships with conference partners, NCAA representatives, vendors, and external constituents.
  • Assist with facility enhancement, renovation, and capital improvement projects.
  • Support operational planning for strategic departmental initiatives and special events.
  • Contribute to the development and continuous improvement of operational policies, procedures, and best practices.
  • Assist with budget tracking, purchasing, and operational reporting as assigned.
  • Perform other duties as assigned by the Assistant Athletics Director for Operations & Facilities.
