About The Position

Requirements

  • 2+ years of administrative or coordination experience, preferably in a professional services or technical consulting setting.
  • Confident with Office 365 tools such as Outlook, Teams, Word, Excel, OneDrive, and SharePoint — and enjoy learning new technology.
  • Excel at staying organized, prioritizing tasks, and keeping others informed to support deadlines and team commitments.
  • Approach challenges with curiosity and initiative — identifying solutions, offering ideas, and supporting continuous improvement.
  • Bring a warm, collaborative mindset and enjoy contributing to a positive workplace culture.
  • Demonstrate adaptability, professionalism, and care in working with colleagues, clients, and partners.

Nice To Haves

  • Post‑secondary education in administration or a related field is an asset.
  • A valid driver’s licence is also considered an asset.

Responsibilities

  • Support the smooth daily operations of the Vancouver office, helping create an organized, welcoming, and productive workplace for employees and visitors
  • Coordinate meetings, training sessions, and events by preparing materials, supporting logistics, preparing presentations, and ensuring strong follow‑through on action items.
  • Act as the primary point of contact for internal teams, responding to inquiries with clarity, care, and a solution‑focused mindset.
  • Maintain digital and physical information systems, including file organization, SharePoint updates, data entry, and document retrieval to support efficient workflows.
  • Support onboarding activities to help new employees integrate seamlessly into the Earth & Environment business line.
  • Troubleshoot basic office and meeting‑room technology issues and coordinate with IT when needed to keep employees productive.
  • Manage supplies, PPE, business cards, catering, and other operational needs to support teams in the field and office.
  • Coordinate travel and expense submissions to ensure efficient planning and compliance with corporate processes.
  • Collaborate closely with Business Support colleagues in BC and Yukon, contributing to shared projects and continuous improvement efforts.
