About The Position

The Assessment Operations Coordinator supports the administration, execution, and coordination of assessment operations within the Department of Academic Success (ARCOM and MSB). This position assists with exam logistics, item bank organization, reporting workflows, assessment-related documentation, operational tracking processes, and continuous quality improvement (CQI) activities that support assessment reliability, continuity, and accreditation-related operations. The coordinator works closely with the Associate Dean of Academic Success and assessment leadership to support and ensure accurate, timely, and organized assessment processes, data, operations, and documentation that support academic decision-making, CQI, accreditation activities, and related institutional requirements. While this role works extensively with assessment systems, workflows, and performance data, it does not independently interpret outcomes, set academic thresholds, or make academic or progression decisions.

Requirements

  • Bachelor’s degree preferred; equivalent experience considered.
  • Experience in academic operations, assessment support, data coordination, or related roles.
  • Strong organizational skills and attention to detail.
  • Comfort working with databases, spreadsheets, and educational technology platforms.
  • Ability to manage multiple deadlines while maintaining data integrity and confidentiality.
  • Demonstrate proficiency in computer skills, i.e. Microsoft Office.
  • Display professionalism for the college in all communication and interaction.
  • Ability to maintain confidentiality and privacy.
  • Ability to prioritize and organize numerous and varied assignments.
  • Ability to orally communicate effectively with others with strong interpersonal skills and customer service orientation.
  • Ability to work cooperatively with colleagues and supervisory staff at all levels.

Nice To Haves

  • Experience supporting assessment or exam operations in higher education or medical education.

Responsibilities

  • Coordinate exam setup, scheduling, and administration for preclinical and program-level assessments using assessment platforms (e.g., ExamSoft).
  • Manage question intake, formatting, tagging, version control, and item bank organization in alignment with established assessment standards.
  • Support secure exam delivery, post-exam processing, grading workflows, and release coordination.
  • Coordinate assessment logistics in partnership with Office of Academic Affairs, Testing Services, and course leadership.
  • Support the administration, tracking, and documentation of predictive and barrier assessments (e.g., COMSAE).
  • Manage high-volume assessment operations during peak academic cycles, including pre-semester, exam-heavy periods, and post-exam reporting windows.
  • Generate, maintain, and distribute standardized reports, dashboards, data extracts, and operational summaries for Academic Success operations, assessment leadership, faculty, and course directors.
  • Maintain secure, organized databases and tracking systems related to assessment operations, student performance data, early-alert workflows, and accreditation-related documentation.
  • Ensure timely and accurate updates to dashboards, tracking tools, longitudinal datasets, and operational reporting systems used to support assessment operations and institutional requirements.
  • Prepare and organize clean, accurate datasets and reporting materials to support continuous quality improvement, accreditation activities, and assessment-related operations under the guidance of assessment leadership.
  • Maintain CQI tracking processes, including documentation of actions, follow-up steps, and outcomes.
  • Maintain and organize assessment-related records, accreditation documentation, audit materials, and program review evidence in accordance with institutional expectations.
  • Compile, prepare, and organize assessment materials and supporting documentation for committees, reporting cycles, accreditation activities, audits, and institutional reviews.
  • Ensure documentation is complete, accurate, organized, accessible, and compliant with institutional policies and documentation standards.
  • Serve as the primary logistical point of contact for faculty regarding assessment timelines, exam submission requirements, formatting standards, and assessment procedures.
  • Coordinate assessment-related communications, deadlines, scheduling, and operational logistics across academic and administrative units.
  • Support faculty engagement by ensuring clear expectations, timely communication, and consistent execution of assessment processes.
  • Maintain assessment systems and workflows in alignment with established policies and procedures.
  • Identify and support improvements to improve efficiency, accuracy, and reliability of assessment operations.
  • Assist with onboarding and training for assessment platforms, tools, and processes.
  • Prioritize operational tasks independently within established workflows and timelines.
