About The Position

The ASRS Lead Office Administrator is responsible for the continuous and efficient scheduling of all inbound/outbound carrier loads. This person will field all telephone calls and emails and assign pick-up and delivery appointments. In addition, this person will participate in the ASRS warehouse operating system, as well as control the efficient flow of all driver paperwork and purchase orders and oversee the activities of the 2nd and 3rd and Weekend Office Administrators. Major roles of this person will be to remain in contact with security gate guards, carrier drivers, forklift operators and the ASRS Operator, to ensure timely processing of all assignments. This person will also perform other duties, as directed by management and additionally, participate in various areas to ensure the overall proficient function of the warehouse.

Requirements

  • High school diploma or equivalent experience.
  • Good oral and written communication skills.
  • Experience with PC applications and computer system essential.
  • Detail oriented and team player.
  • Good time management and multitasking skills.
  • Must possess excellent and effective communication skills.
  • Strong, honest work ethic with ability to handle multiple tasks daily.

Nice To Haves

  • Shipping/receiving experience preferred.

Responsibilities

  • All plant personnel have the responsibility to monitor and report any deviations from our Food Safety and Food Quality (HACCP & SQF) programs to your immediate supervisor
  • Field telephone calls and email dock appointment requests.
  • Coordinate/maintain carrier delivery/pick-up appointment schedule.
  • Coordinate carrier dock flow with security gate and loading dock crew.
  • Process inventory transactions to complete “Load Close” function.
  • Complete and release driver paperwork, BOL’s and invoices.
  • Communicate to the ASRS Lead Operator, assignments to be dispatched for loading.
  • Oversee the activities of the office administrators on the other shifts.
  • SQF Support – Responsible for development, training, implementation, and compliance to the SQF program.
  • Participate in all shift hand-off meetings and record all notes to be filed and maintained.
  • Participate in team safety meetings and document minutes.
  • Maintain safety files, i.e.: monthly fire extinguisher inspections; MHE operator checklists, etc.
  • Communicate and route all re-work/refused products to plant production team, as warranted.
  • Direct any changes in shipping/receiving schedule.
  • Maintain ASRS warehouse Food Safety and Food Quality (HACCP & SQF) records.
  • Function as a liaison between warehousing, plant production, logistics and transportation departments.
  • As directed by Management.
