On-Site Artwork Project Manager

About The Position

This role involves managing the full lifecycle of Cosmetic Packaging projects for assigned client(s). The Project Manager monitors and communicates project milestones and progress to ensure projects are executed on time and within budget. They partner across the Brand Development function to identify and resolve project issues, using strong technical knowledge to resolve complex problems. The position focuses on leading the packaging artwork process and driving all packaging commercialization activities. It requires proximity to New York City and may involve visiting the client office once per week, supporting an SGx team that is mostly remote.

Requirements

  • Microsoft Office experience required
  • Strong verbal and written communication skills
  • Strong organizational skills
  • Knowledge of artwork management systems
  • Able to work effectively and efficiently towards goals in a complex, diverse environment with multiple and changing demands
  • Comfortable with interacting with clients of all levels, printers and suppliers
  • Must be forward thinking and improvement driven
  • 5-10 years’ experience in cosmetic packaging, artwork, creative project management
  • Strong understanding of print, production, design, art industry, pre-press, color management theory
  • Client-facing experience is a must

Nice To Haves

  • Fully conversant with Adobe CS or Adobe certification is a plus

Responsibilities

  • Oversee end-to-end workflow of packaging artwork from a highly detailed perspective
  • Oversee and communicate key timelines and priorities
  • Partner and collaborate with internal teams in a positive, professional, and constructive way
  • Engage in pre-production calls to support the packaging team where needed
  • Educate existing and new client teams on their own creative standards and practices
  • Translate client instructions into measurable and effective communication to all necessary end-users
  • Pull pick-ups from artwork management system for SGx production as a reference to create mechanicals
  • Update SGx team with any new brand standards
  • Lead/participate in meetings as needed to review active projects and action items
  • Create, manage and communicate project timelines and submission deadlines
  • Manage extremely tight, sensitive timelines as needed with clear communications on any barriers and timeline risks managing client expectations
  • Manage projects in workflow tool (DragonFly), monitor routing approvals
  • Train new users including client employees and print vendors on the artwork management system and process
  • Supervise and lead to help other members of team learn best practices regarding project management and communication
  • Request color proofs or comp requests where fit
  • Locate and share historical artwork files
  • Manage projects from production initiation through supplier proof approval
  • Partner closely with cross-functional teams to ensure complete and accurate information is provided as required to successfully execute production work
  • Host weekly artwork status call and attend Project Management calls
  • Assist client quality team in artwork history where concerns arise
  • Manage ad hoc requests, including international local production requests
  • Maintain tracking and effectively communicates project status and details, consistently
  • Communicate details about at-risk programs and escalate as needed
  • Encourage packaging regulation compliancy and communicate expectations to cross-functional partners
  • Review and assess Packaging Design turnovers and identify project parameters
  • Monitor consistency across packaging and product portfolio
  • Assist print vendors with DragonFly needs including prepress proof status, troubleshooting, and system training
  • Demonstrate good judgment in choosing methods of communication that are most effective and efficient (i.e., team meetings, in-person visits, phone calls, email)
  • Propose meetings as needed to resolve bottlenecks quickly and effectively
  • Attend monthly staff meetings
  • Provide quality service by anticipating clients’ needs and regularly measuring satisfaction
  • Nurture good relationship with clients, develop trust and stay alert to potential business opportunities
  • Create Quarterly business Review reports to assess client satisfaction and performance
  • Hold semi-annual meetings with Directors by Department to discuss KPI Reports
  • Develop, improve and consistently streamline workflow processes
  • Review billing and invoicing
  • Maintain project tracker for all active SKUs
