About The Position

The Architecture & Design Operations Coordinator supports the successful execution of operational activities across the Architecture team and broader Design organization. This role coordinates architectural project intake and review workflows, departmental reporting, and the on-site operations of Choice’s Design Lab, where architectural strategies, products, and prototypes are evaluated. The Coordinator partners with Development, Opening Services, Facilities, the broader Design team, Owners, franchisees, vendors, and external consulting firms to maintain timely and consistent project execution. Working closely with department leadership, this role identifies operational roadblocks, improves processes, and supports initiatives aligned with the company’s growth and strategic objectives.

Requirements

  • Bachelor's degree in Business Administration, Project Management, Architecture, Interior Design, Construction Management, Hospitality Management, or a related field, or an equivalent combination of education and work experience.
  • 2-4 years of experience in project coordination, operations, architecture and design, construction, or a related field.
  • Experience coordinating multiple projects and priorities in a fast-paced environment.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently while effectively managing competing priorities.
  • Proficiency with Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
  • Experience utilizing project management and CRM platforms such as Smartsheet and Salesforce.

Nice To Haves

  • Experience supporting architecture, interior design, hospitality development, construction, or product design teams.
  • Experience with process improvement initiatives and project management methodologies.
  • Familiarity with collaboration and workflow-management tools such as Monday.com and Miro.
  • Experience within the hospitality, architecture, or design industry.

Responsibilities

  • Manage architectural project intake and allocation by assigning new projects to Architecture team members, maintaining project tracking tools, and serving as the primary coordinator throughout the intake process.
  • Coordinate architectural review workflows by routing submissions, monitoring progress and timelines, and helping ensure contractual and departmental service-level expectations are met.
  • Prepare and maintain compliance, project pipeline, review status, and other architecture-specific reports; track milestones, contractual deadlines, risks, and overall project progress.
  • Serve as a primary point of coordination for franchisees, Owners, and external architecture and design consultants by communicating review status, facilitating information exchange, and supporting timely issue resolution.
  • Maintain project portals, document-management systems, tracking tools, and workflow documentation so project information remains accurate, current, and accessible to appropriate stakeholders.
  • Identify and recommend process improvements that strengthen workflow efficiency, reporting accuracy, operational consistency, and project visibility.
  • Manage the day-to-day on-site operations of Choice’s Design Lab, keeping the space organized, functional, and prepared for product evaluations, prototype installations, and cross-functional design initiatives.
  • Coordinate prototype installation buildouts, product testing, sample logistics, material deliveries, and related activities that support design development and validation.
  • Partner with internal teams, Facilities, and external vendors to coordinate maintenance, installations, and improvements to the Design Lab.
  • Maintain Design Lab inventory, equipment, storage areas, samples, and supporting documentation so resources remain current, accessible, and operational.
  • Schedule and coordinate vendor visits, material evaluations, stakeholder meetings, executive tours, and other on-site events to support an organized and productive experience for internal and external partners.
  • Support department leadership in planning, prioritizing, and executing strategic initiatives through project plans, action trackers, executive status reports, milestone tracking, and other visibility tools.
  • Coordinate cross-functional deliverables, monitor progress, identify potential roadblocks, and escalate issues as appropriate to help keep initiatives on schedule.
  • Contribute to continuous-improvement efforts by identifying opportunities to strengthen departmental workflows, operational processes, reporting, and design documentation.
  • Manage nondisclosure agreement documentation and related processes for pre-contract projects, including timely execution and appropriate recordkeeping.
  • Provide operational and administrative support to the Architecture and Design teams based on evolving departmental priorities.
