At RA, our people are at the heart of everything we do. We are actively seeking an Aquatics Administrative Coordinator to join our team! This position is responsible for coordinating and supporting the administration of a large seasonal aquatic workforce of more than 400 employees across multiple aquatic facilities. The Aquatics Administrative Coordinator plays a critical role in recruitment support, onboarding, training and certification tracking, scheduling administration, timekeeping processes, employee record management, and operational reporting. The Aquatics Administrative Coordinator will help ensure safe, efficient, and cost-effective aquatics operations by maintaining staffing schedules, supporting workforce compliance, coordinating employee communications, and providing administrative support for aquatic programs, events, and facility operations. This position works closely with Human Resources and other departments to support workforce planning, employee engagement, and operational excellence across the Aquatics Department. Work is performed under the direct supervision of the Aquatics Manager and includes a combination of office-based work and support for aquatic operations throughout the community. This role supports a seasonal aquatics operation and requires flexibility to work occasional early mornings, evenings, weekends, and holidays during the aquatics season to meet operational and staffing needs. This position offers 30 hours per week, with availability to work occasional early mornings, evenings, weekends, and holidays during the aquatics season to support operational and staffing requirements.

Requirements

  • High School Diploma
  • Minimum of two (2) years of experience in administrative operations, office management, customer service, workforce coordination, or a related field.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and operational processes.
  • Experience maintaining records, reports, documentation, and compliance-related information with a high level of accuracy.
  • Strong written and verbal communication skills with the ability to interact professionally with employees, applicants, members, and stakeholders.
  • Ability to work independently while contributing to a collaborative team environment.
  • Strong customer service, problem-solving, and relationship-building skills.
  • Ability to exercise sound judgment, professionalism, and discretion when handling sensitive information.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and related business software.
  • Experience using technology systems to maintain records, generate reports, support scheduling, and improve operational efficiency.
  • Ability to work occasional early mornings, evenings, weekends, and holidays, particularly during the aquatics season.
  • Ability to stand, walk, bend, reach, and occasionally lift up to 30 pounds.
  • Comfortable working in a combination of office and outdoor aquatic environments.
  • Availability to work occasional early mornings, evenings, weekends, and holidays during the aquatics season to support operational and staffing requirements.

Nice To Haves

  • Prior Parks and Recreation experience
  • Knowledge of aquatics operations and recreational facility environments
  • Experience working in a public, municipal, parks and recreation, community association, or aquatic program setting
  • Experience with seasonal workforce administration, onboarding, training coordination, or employee scheduling
  • Basic knowledge of local, state, and federal employment practices
  • Experience with recreation management, registration, scheduling, incident tracking, or workforce management software
  • Current CPR/AED and First Aid certification, or the ability to obtain certification within a designated timeframe
