About The Position

The Native Council of Nova Scotia (NCNS) is an Indigenous Advocacy Representative Organization dedicated to representing, promoting, and advancing the self-governing institutions and services of off-reserve Aboriginal/Mi’kmaq people in Nova Scotia. APTEC (Aboriginal Peoples Training & Employment Commission) aims to improve the social, cultural, educational, and employment situation of this community. The APTEC Employment Support Clerk plays a crucial program and services support role within the NCNS Dartmouth Provincial Office, working under the APTEC Manager. This position requires both taking direction and working intuitively to support program goals in a professional and culturally appropriate manner. Key responsibilities include ensuring administrative procedures are followed, maintaining professional and courteous communication with the public, and providing daily support to APTEC Service staff. A strict adherence to confidentiality is paramount, as any breach can lead to immediate dismissal.

Requirements

  • Administrative Assistant diploma or related certificate or degree.
  • Minimum of 6 months of experience in a similar position.
  • Possess knowledge, respect, and sensitivity to Indigenous culture and be committed to helping the service strengthen and achieve a beneficial employment and training service for this client group.
  • Understand the value of diversity.
  • Strong organizational, evaluation, and problem-solving skills.
  • Effective written and verbal communication skills.
  • Working knowledge of Microsoft Office, Excel, and Presentations.
  • Fluidity in email applications and web research.
  • Ability to work flexible hours.
  • Willingness to authorize a criminal record check and vulnerable sector check.

Responsibilities

  • Handle office interactions with outside visitors, including greeting and directing guests and clients, answering phone inquiries, and managing requests or complaints professionally.
  • Keep track of staff schedules and report as directed by the HR Manager.
  • Monitor inventory and office equipment, ordering supplies from the Manager as needed.
  • Occasionally travel off-site to assist with career fairs, information sessions, or attend training.
  • Maintain files with strict confidentiality as directed by Program staff.
  • Coordinate communication between various program staff, schedule meetings, and distribute reports/mail.
  • Assist program staff in setting up workshops, career fairs, or information sessions.
  • Perform clerical functions such as preparing email responses, informing the public about available services, and redirecting inquiries to appropriate staff.
  • Post job opportunities and information on NCNS Program social media sites.
  • Provide website updates to the HR Manager regarding program or service information changes.
  • Understand and adhere to NCNS policies and procedures.
  • Perform any other duties and tasks as directed by the APTEC Manager.
