Grand Appliance is hiring for an Appliance Repair Administrative Assistant in our service department in Kalona, IA. This is an on-site position at our Kalona, IA warehouse and follows a Monday – Friday schedule from 9:00 AM – 5:00 PM. Grand Appliance is proud to be recognized as a Top Workplace for 2026! Requirements

A high school diploma or equivalent is required
Previous experience in customer service, administrative assistant work, or a related field
Experience and comfort handling phone lines and handling sensitive customer interactions
Computer skills and ability to learn and navigate internal scheduling and customer systems
Organization skills and ability to prioritize when multiple calls are coming in

Responsibilities

Answer incoming appliance repair calls promptly and professionally
Take complete service requests each time, including recording customer name, address, contact information, appliance information (type/brand), and notes for access to residence
Enter the request into customer systems
Flag emergencies (gas odor, sparking, standing water, no refrigeration) and escalate those to the Service Manager immediately
Explain steps to customer, such as scheduling date and arrival window
Assist scheduler in booking and confirming appointment times
Assist technicians in completing paperwork after jobs are finished
Close out completed jobs so billing operations can begin
Assist with paperwork associated with warranty and claims, and any follow up from those
Assist in receiving and recording customer payments
Handle phone lines during breaks and busy times
Additional tasks as needed.
