About The Position

The Accounts Payable Manager is responsible for overseeing and owning the end-to-end accounts payable function, ensuring timely and accurate processing of invoices, payments, and vendor communications. This role ensures adherence to internal controls, company policies, and regulatory requirements, while driving process improvements, automation initiatives, and scalability within the AP workflow. The position requires strong organizational and problem-solving skills, a solid understanding of accounting principles, and the ability to manage a high volume of transactions with accuracy and attention to detail. The Accounts Payable Manager will lead and support the AP team, providing training, guidance, and performance management, while also partnering with Accounting and Finance leadership on cash management, prioritization of payments, and operational efficiency. A strong working knowledge of accounting systems and AP automation tools is essential.

Requirements

  • Authorization to work in the United States
  • 7 -- 10+ years of progressive accounting and accounts payable experience, including leadership responsibilities
  • Strong understanding of AP workflows and general accounting principles, including debits/credits and financial impact of transactions
  • Intermediate Microsoft Excel skills and proficiency with other Microsoft Office products
  • Experience with SAP Concur, Vroozi, Microsoft Dynamics Great Plains, or similar ERP systems
  • Must be organized, flexible, and detail oriented
  • Excellent time management skills with the ability to meet deadlines
  • Ability to coordinate several projects at once
  • Ability to constantly prioritize and re-prioritize activities based on changing needs
  • Ability to work with a high level of integrity, positive attitude, and with little supervision
  • Strong written, oral, and interpersonal communication skills
  • Service and team-oriented, with keen attention to detail
  • Excellent supervisory and analytical skills

Responsibilities

  • Ensuring the accuracy of the Accounts Payable (AP) subledger through oversight of team processes, system controls, and reconciliation to the general ledger
  • Coordination with the Accounting Manager and Controller to ensure timely and accurate payment of all vendor invoices and employee expense reports consistent with the weekly payment schedule, including prioritization of payments aligned with cash flow considerations
  • Overseeing vendor relationships, including establishing communication standards, escalation processes, and resolution of complex issues
  • Managing the AP Processor and AP Specialist, including Performance management, Coaching and development, Workload balancing and prioritization, Establishing KPIs and accountability for performance
  • Maintain and administer accounts payable software (SAP Concur and Vroozi), while identifying and driving opportunities for system optimization, automation, and efficiency improvements
  • Oversee timely resolution of all external vendor and internal employee requests to the AP Inquiries inbox, ensuring defined services levels and response standards are consistently met
  • Order and maintain corporate credit cards
  • Maintaining the accounts payable subledger and ensuring reconciliation to the general ledger
  • Ensure compliance with 1099 filing requirements, including proper collection and maintenance of all supporting records
  • Adhering to the month-end close schedule and communicating progress or setbacks to the rest of the team in a timely manner
  • Oversee AP-related month-end processes and partner with Accounting to ensure completeness and accuracy
  • Drive continuous improvement initiatives across AP processes, including workflow optimization, automation, and use of technology (including AI where applicable)
  • Partner with Accounting leadership on classification and treatment of expenses (e.g., R&M vs Capex) as needed
  • Conforming with and abiding by all regulations, policies, work procedures, and instructions
  • Performs other related duties as assigned
