About The Position

We are seeking a detail-oriented and self-motivated individual to join our Accounting team as our first AP/AR Specialist. You will play a critical role in supporting our month-end close, financial reporting, and optimize our accounting operations. This position requires hands-on management of day-to-day transactions within AP, AR, and integrated systems to ensure efficiency and accuracy of our financial records. The ideal candidate will leverage tools like Ramp, ERP systems, and Excel to build reports and supporting schedules, develop ad-hoc reports for distribution across teams, and support budgeting and forecasting cycles. This is a unique opportunity to build scalable financial operations that directly impact procurement, revenue, and company growth.

Requirements

  • 1-3 years of experience in AP, AR, or general accounting support
  • Proficiency with modern accounting tools (e.g., Ramp, QuickBooks, Bill.com, G-Suite/Excel)
  • Excellent attention to detail and a knack for documentation and follow-up
  • Strong communication and coordination skills (especially with vendors and customers)
  • Curiosity and desire to learn new skills, software, and strive for continual improvement

Nice To Haves

  • Systems and process first mentality
  • Experience with manufacturing, hardware, or inventory-heavy operations
  • Familiarity with ERP systems or tools like NetSuite, Palantir, or similar
  • Exposure to government/defense billing requirements (ITAR, progress billing, etc.)

Responsibilities

  • Upload and categorize vendor bills in Ramp; matching POs and invoices within inventory and procurement systems
  • Review credit card transactions for proper documentation and categories
  • Manage vendor setup, W-9 collection, and payment term tracking
  • Monitor aging reports and flag discrepancies or duplicate charges
  • Help manage custom payment schedules for inventory with large orders (+$1M)
  • Draft customer invoices based on contract terms and milestones
  • Submit invoices through customer portals or via email as needed
  • Track open receivables and follow up with internal teams or customer AP contacts
  • Maintain and update collections status, cash receipts, and outstanding balances
  • Support customer onboarding by tracking PO#s, billing requirements, and contacts
