About The Position

The AP and Sales Tax Specialist is a hands-on, process-oriented role responsible for maintaining the day-to-day transactional accounting functions that keep the business running smoothly. This position focuses primarily on accounts payable processing and sales and use tax administration, with opportunities over time to support additional accounting and operational activities. This role is well-suited for someone early in their accounting career who enjoys structured workflows, attention to detail, and improving efficiency through process discipline and technology.

Requirements

  • 1–3 years of experience in accounts payable, accounting operations, or a similar transactional accounting role
  • Working knowledge of AP processes and basic accounting concepts
  • Strong attention to detail and comfort working in structured, process-driven environments
  • Proficiency with Microsoft Excel and accounting/ERP systems
  • Ability to manage multiple routine tasks with consistent accuracy

Nice To Haves

  • Associate’s or bachelor’s degree in accounting, Finance, or a related field
  • Experience working with ERP systems and AP automation tools
  • Exposure to sales and use tax processes (in-house or through third-party software)
  • Interest in expanding skills into broader accounting or operations over time

Responsibilities

  • Accounts Payable Operations
  • Process vendor invoices, ensuring proper coding, approvals, and supporting documentation
  • Maintain accurate and up-to-date vendor records, including W-9s and payment details
  • Prepare and execute weekly check runs and electronic payments (ACH)
  • Monitor AP inboxes and workflows, ensuring invoices are processed timely
  • Resolve vendor inquiries and discrepancies professionally and efficiently
  • Support employee expense reimbursement and corporate credit card processes
  • Sales and Use Tax
  • Support preparation and filing of monthly and quarterly sales and use tax returns across multiple states
  • Maintain and validate sales tax exemption certificates
  • Flag and track use tax exposure on vendor invoices
  • Assist with sales tax setup and maintenance within the ERP and third-party tax software
  • Serve as a point of contact for sales tax-related questions and documentation
  • Accounting Support & Exposure (Secondary / Developmental)
  • Assist with journal entries
  • Support bank and account reconciliations on an as-needed basis
  • Provide transactional support during month-end close
  • Crosstrain with other accounting team members to provide coverage during peak periods or absences
  • Process & Continuous Improvement
  • Follow established accounting procedures and internal controls
  • Identify opportunities to improve efficiency through automation, system enhancements, and process standardization
  • Support implementation and optimization of accounting tools and workflows over time
