About The Position

The Residency Program Coordinator is responsible for assuring that programs for the education of BMC-Brighton Anesthesiology residents/fellows are properly organized, well-coordinated, effective, monitored, and in compliance with requirements set by Boston Medical Center Health System (BMCHS) and by all organizations and agencies (such as the ACGME and the governing RRC). The Residency Program Coordinator responds to all inquiries related to the training program, and interfaces with appropriate individuals, medical schools, licensing bodies, and affiliated institutions and organizations to obtain all necessary paperwork to onboard and maintain trainees. Operating independently with minimal direction, the Program Coordinator serves as a liaison between trainees, the Program Director, the GME office, the hospital, and accrediting bodies.

Requirements

  • Bachelor’s Degree or equivalent combination of formal education and experience.
  • Minimum of 2 years of work experience required
  • Knowledge of BMCHS and GME policies, procedures, and best practices for residency program management
  • Strong critical thinking skills, is able to identify issues and offer solutions.
  • Has demonstrated comfort and ability working independently
  • Ability to adjust with shifting priorities, demands, and timelines through prioritizing and problem-solving capabilities.
  • Ability to work effectively with all levels of faculty, administration, and staff in situations where one must be courteous but firm in seeking information or cooperation.
  • Excellent attention to detail to maintain accurate and complete records of departmental activities and confidential personnel/training records.
  • Advanced competency working with numbers, including payroll and budgetary accounting, and data analysis.
  • Knowledge of and ability to operate various computer software applications, including but not limited to Outlook, Word, Excel, and Power Point.

  • Prior experience with graduate medical education programs preferred.
  • Previous experience with New Innovations preferred

Responsibilities

  • Ensure program compliance and accreditation – Reviews ACGME requirements, evaluates program compliance, coordinates site visits, and submits required reports and surveys
  • Maintains the training program in the New Innovations Residency Management Suite, this includes, preparation of all resident/faculty evaluations, rotation schedules, duty hours, scheduling conferences, portfolio, creates database reports, IRIS preparation
  • Maintains GME TRACK (resident database and tracking system utilized for the collection and management of GME data), American Board Specialty, AMA, and other professional organization
  • Provide leadership and oversight for administrative operations, including managing employee schedules, approving time off requests, monitoring and ensuring accuracy of timekeeping, and guiding staff performance
  • Initiates and administers department house staff budget including projections and future needs for program coordination and administration of departmental annual In-Service Training Exam
  • Develop new policies in response to new or revised regulations issued by governing agencies or program director
  • Maintains accurate files on all current and former house staff and process all credentialing documents on former house staff in an accurate and timely manner
  • Plan and manage resident activities – Organizes program orientation, graduation, educational sessions, and other program-related events
  • Performs other duties as assigned
