About The Position

The Analyst, UKG Workforce Management is a key member of UHN’s Workforce Management team, supporting the implementation, optimization, and ongoing operations of UKG Pro Workforce Management (WFM) across the areas of Scheduling, Time & Attendance, and Leave & Accruals Management. The Analyst provides business analysis, documentation, testing, data interpretation, and user support to ensure WFM processes and system configuration accurately reflect operational needs across UHN’s 24/7 clinical and corporate environments. This role works in close collaboration with operational leaders, schedulers, timekeepers, People & Culture, Payroll, Labour Relations, Digital, and the HRIS/WFM project team. This role is ideal for someone who is analytical, detail‑oriented, and eager to support digital transformation in workforce management across a large, complex healthcare organization.

Requirements

  • Undergraduate degree in Health Administration, Business, Information Systems, Human Resources, or related field required.
  • 1–3 years of experience in scheduling, timekeeping, payroll support, workforce management, business analysis, or related operational roles.
  • Experience documenting workflows, mapping processes, and gathering functional requirements.
  • Strong analytical skills and attention to detail, with the ability to interpret complex operational scenarios.
  • Strong communication and interpersonal skills, with the ability to support cross‑functional collaboration.
  • Ability to manage multiple tasks in a fast‑paced project environment and adapt to shifting priorities.
  • Experience in a unionized healthcare environment.

Nice To Haves

  • Experience with leave/absence processes or accrual tracking is an asset.
  • Familiarity with scheduling, timekeeping, or WFM systems preferred; experience with UKG Pro WFM is an asset.
  • Understanding of collective agreements and how they impact Scheduling and Timekeeping processes is an asset.
  • Experience participating in systems testing (SIT, UAT), including executing test scripts and tracking defects.
  • Experience participating in or leading large‑scale system implementation projects.
  • Familiarity with schedule standardization practices, documentation approaches, and workforce optimization methodologies.

Responsibilities

  • Partner with operational leaders, schedulers, timekeepers, and subject matter experts to understand and document current WFM practices across Scheduling, Timekeeping, and Leaves.
  • Document current workflows, exception processes, and business rules using standard templates and process mapping tools.
  • Support requirement‑gathering sessions to identify future‑state needs for Scheduling, Time & Attendance, and Leave Management.
  • Assist Leads in translating collective agreement requirements into structured functional requirements and system logic.
  • Develop and maintain documentation related to scheduling patterns, timekeeping workflows, leave/absence processes, and accrual tracking.
  • Collect and validate WFM‑related data including schedule structures, pay code mappings, leave balances, accrual rules, exception categories, and unit staffing models.
  • Identify data inconsistencies and coordinate with operational partners to resolve issues.
  • Keep documentation version‑controlled and aligned with project standards.
  • Assist Leads and technical teams with configuration preparation, documentation review, and design decision logging.
  • Participate in validating configuration across Scheduling, Timekeeping, and Leave/Accrual workflows, ensuring system behaviour aligns with expected policies and rules.
  • Support mapping current‑state processes to UKG future‑state workflows, identifying standardization opportunities.
  • Contribute to the development of test scripts and scenarios covering all UKG WFM modules.
  • Participate in SIT, UAT, and regression testing cycles by executing test cases and documenting outcomes.
  • Log defects, support defect triage, and validate fixes.
  • Assist with Payroll parallel testing by verifying time‑to‑pay outputs and documenting discrepancies.
  • Contribute to the creation of user guides, reference materials, training content, and process documentation.
  • Provide hands‑on support during pilot rollouts, go‑lives, and stabilization periods.
  • Support communication of workflow changes and process updates to operational teams.
  • Build collaborative relationships with schedulers, timekeepers, and leaders to ensure adoption and consistency.
