This is a dual report position under the supervision of the Director of Alumni Engagement and the Assistant Director of Data Services. The primary functions of this position are to provide support to the alumni relations team and to process gifts and pledges to Law Development and Alumni Relations ("LDAR").

Requirements

  • Bachelor’s Degree or equivalent in experience required
  • 2-3 years’ experience in related field or equivalent combination of education and experience is required
  • Excellent written and verbal communication skills
  • Organized, adaptable, energetic and articulate with a positive attitude
  • Demonstrated ability to work independently and as part of a team
  • Strong proficiency in Microsoft Office Suite (especially Excel) and familiarity with social media platforms preferred
  • Ability to travel and staff events
  • Ability to work occasional evenings and weekends

  • Experience with Cvent, Qualtrics, Salesforce, and MarketingCloud a plus

Responsibilities

  • Support the Director of Alumni Engagement, Associate Director of Alumni Engagement, and Assistant Director of Alumni Engagement.
  • Provide comprehensive event support for all alumni relations events, including Reunion Weekend, Law Alumni Society Board Meetings, and regional club and affinity group events. Responsibilities include creating signage, invitations, RSVP sites (Qualtrics and Cvent), nametags, and briefing documents, as well as staffing events as needed.
  • Maintain accurate and up-to-date contact information for all graduates as it is received through various channels.
  • Enter personal data and event attendance into the University Compass (Salesforce) database.
  • Collaborate with Communications and other Law School departments to develop and manage a schedule of alumni email communications.
  • Build, review, and send communications.
  • Help manage Penn Carey Law's alumni-facing social media platforms and the LDAR website, ensuring content is current and engaging.
  • Research and request reports as needed to identify alumni in specific regions and practice areas (among other search terms) as requested.
  • Manage Cvent process for reunion weekend (update reunion app, track attendance, payments and donations).
  • Maintain a master event calendar and database for all events planned and executed by the Law Development and Alumni Relations department, sharing updates with LDAR, the Law School events calendar, and Central DAR as appropriate.
  • Ensure the proper receipt and tracking of all incoming gifts and pledges that arrive through LDAR including the completion of gift transmittals for processing and scanning of gift paperwork for archives.
  • Track long-term pledges and pledge payments for both restricted and unrestricted funds.
  • Work with the Assistant Director of Data Services to send out pledge reminder notices.
  • Work with Stewardship team to track gift acknowledgment letters for gifts.
  • Create daily gift reports, verify proper processing, and submit gift adjustment requests as needed.
  • Organize and manage all confidential financial records, including protecting credit card privacy.
  • Work with the Alumni Relations team and the Assistant Director of Data Services to track and segregate reunion ticket purchases and reunion class gifts to the annual fund.
  • Assist the Gift Officers and Assistant Director of Data Services with managing gift agreements in Compass (Salesforce).
  • Provide varied and complex support and assistance to all staff as necessary (reports, event staffing, etc.).
  • Additional duties as assigned by the Assistant Director of Data Services.
