Overview The AI Automation & Workflow Engineer will be responsible for designing, building, implementing, and maintaining artificial intelligence solutions, automated workflows, system integrations, and operational tools across Pacific Health Group. This individual will work closely with executive leadership, department directors, managers, information technology, compliance, data administration, billing, member engagement, clinical operations, human resources, marketing, and other departments to identify inefficiencies and convert manual or fragmented processes into secure, scalable, and measurable workflows. The ideal candidate combines AI engineering, workflow architecture, systems integration, business process analysis, and hands-on automation development. This position requires someone who can understand how a department operates, map its processes, recommend improvements, build the appropriate solution, test it, document it, and support adoption. This role is not limited to configuring prompts or basic no-code automations. The AI Automation & Workflow Engineer must be capable of creating production-ready solutions using APIs, databases, webhooks, AI models, automation platforms, custom code, and enterprise applications.

Requirements

  • Three or more years of professional experience in AI engineering, automation engineering, workflow development, systems integration, software development, business-process automation, or a closely related field.
  • Demonstrated experience designing and deploying production-level automations involving multiple applications.
  • Hands-on experience using automation platforms such as Make, Zapier, n8n, Microsoft Power Automate, or comparable technologies.
  • Experience working with generative AI models and APIs, including OpenAI, Anthropic Claude, Google Gemini, Azure OpenAI, or comparable platforms.
  • Proficiency with APIs, webhooks, authentication methods, data mappings, conditional logic, and system integrations.
  • Working knowledge of Python, JavaScript, TypeScript, SQL, or another applicable programming language.
  • Experience working with databases, structured data, JSON, and data-transformation processes.
  • Ability to evaluate complex business processes and convert them into clear technical requirements and automated workflows.
  • Experience developing error handling, monitoring, logging, testing, and technical documentation.
  • Strong analytical, troubleshooting, project-management, and problem-solving abilities.
  • Ability to communicate technical concepts clearly to nontechnical employees and leaders.
  • Ability to independently manage projects while collaborating effectively across multiple departments.
  • Strong judgment when working with confidential, sensitive, or regulated information.
  • Ability to manage competing priorities and operate in a fast-growing organization.

  • Experience leading digital-transformation or enterprise-automation initiatives.

Responsibilities

  • Evaluate organizational processes and identify opportunities where artificial intelligence can reduce administrative burden, improve accuracy, accelerate decision-making, or strengthen service delivery.
  • Design and build AI-powered assistants, agents, copilots, knowledge systems, document-processing tools, and decision-support applications.
  • Develop secure generative AI solutions using platforms and models such as OpenAI, Anthropic Claude, Google Gemini, Microsoft Copilot, and other approved technologies.
  • Create retrieval-augmented generation systems that allow authorized users to securely search policies, procedures, training materials, operational records, and organizational knowledge.
  • Build AI solutions that summarize information, classify records, extract structured data, draft documentation, route work, identify exceptions, and recommend next actions.
  • Evaluate AI tools, models, vendors, and emerging technologies for functionality, security, scalability, cost, and organizational fit.
  • Develop standards for prompt engineering, model selection, AI testing, human review, error handling, and responsible AI usage.
  • Maintain awareness of current developments in artificial intelligence and translate relevant innovations into practical organizational solutions.
  • Meet with departmental stakeholders to understand existing workflows, pain points, operational requirements, dependencies, and performance expectations.
  • Create detailed current-state and future-state workflow maps.
  • Identify redundant steps, bottlenecks, manual handoffs, duplicate data entry, communication gaps, and preventable delays.
  • Redesign workflows to improve efficiency, accountability, quality, visibility, and user experience.
  • Translate business requirements into technical specifications, automation logic, user stories, acceptance criteria, and implementation plans.
  • Establish clear workflow ownership, triggers, conditions, approvals, escalations, notifications, and completion standards.

  • Measure time savings, error reduction, adoption, throughput, cost avoidance, and other outcomes generated by automation initiatives.
  • Build end-to-end automations using platforms such as Make, Zapier, n8n, Microsoft Power Automate, Monday.com, Salesforce, Google Workspace, and other approved tools.
  • Develop event-driven and scheduled automations using APIs, webhooks, triggers, conditional logic, data transformations, and system actions.
  • Automate recurring administrative functions such as task creation, status updates, notifications, approvals, escalations, report generation, record routing, and data synchronization.
  • Create workflows that coordinate activities across member engagement, outreach, care management, billing, compliance, human resources, marketing, information technology, and executive operations.
  • Develop reliable error handling, retries, exception queues, alerts, fallback procedures, and human-review checkpoints.
  • Monitor automation performance and proactively resolve failures, latency, duplicate actions, data conflicts, and system changes.
  • Maintain separate development, testing, and production environments when appropriate.
  • Design automations that can scale as Pacific Health Group expands its workforce, services, programs, and geographic footprint.
  • Design and maintain integrations between Pacific Health Group’s internal and third-party applications.
  • Connect systems such as CRM platforms, project-management tools, electronic medical records, communication platforms, cloud applications, reporting tools, and internal databases.

  • Build and maintain RESTful API integrations, webhooks, authentication flows, data mappings, and synchronization processes.

  • Design AI systems and automations with privacy, security, and regulatory requirements incorporated from the beginning.
  • Follow HIPAA, applicable state privacy laws, organizational security policies, and contractual requirements when working with protected health information and personally identifiable information.
  • Ensure protected health information is only processed through systems and vendors approved for the intended use.
  • Apply role-based access controls, least-privilege principles, secure authentication, audit logging, encryption, and data-minimization practices.
  • Prevent unauthorized disclosure of member, employee, financial, clinical, and proprietary organizational information.
  • Coordinate with compliance, information technology, and leadership before introducing new platforms that process confidential information.
  • Conduct risk assessments for AI models, integrations, automations, and vendors.
  • Maintain audit-ready documentation showing how systems operate, what data they access, who has access, and what actions they perform.
  • Establish human review requirements for high-impact decisions and workflows affecting members, employees, billing, compliance, or clinical operations.
  • Immediately escalate suspected data exposure, security incidents, system vulnerabilities, or unauthorized technology use.
  • Build automated dashboards, reports, scorecards, and operational monitoring tools.
  • Integrate data from multiple systems to create reliable organizational reporting.
  • Create automated reporting workflows for leadership, departments, quality assurance, compliance, and contractual requirements.
  • Develop data-validation rules and processes that identify missing, duplicated, inconsistent, or inaccurate information.
  • Collaborate with data administration and department leaders to define standardized data fields, naming conventions, source-of-truth systems, and reporting logic.
  • Track workflow utilization, processing volumes, failure rates, completion times, and business outcomes.
  • Present technical findings and automation results in a manner that can be understood by nontechnical stakeholders.
  • Support forecasting, resource allocation, caseload management, productivity measurement, and operational decision-making.
  • Develop test plans, test cases, validation procedures, and user acceptance testing requirements.

  • Create clear technical documentation, workflow diagrams, standard operating procedures, user instructions, and troubleshooting guides.
  • Maintain an organized inventory of AI tools, integrations, automations, prompts, agents, applications, owners, dependencies, and access requirements.
  • Train employees, managers, and department leaders on new systems and workflows.
  • Provide role-specific training that explains both how to use a tool and when it should or should not be used.
  • Develop governance standards for organizational AI use, including approved platforms, prohibited practices, data-handling expectations, and human-review requirements.
  • Gather user feedback and continuously improve workflows following implementation.
  • Support change-management activities that increase employee understanding, adoption, and confidence.
  • Provide technical support and guidance for implemented solutions.
  • Promote responsible, secure, and effective use of AI throughout the organization.
  • Manage multiple AI, automation, integration, and workflow initiatives simultaneously.
  • Establish project objectives, scope, deliverables, milestones, dependencies, testing requirements, and success measures.
  • Prioritize projects based on organizational value, operational risk, technical feasibility, urgency, and available resources.
  • Provide leadership with regular status reports, risk updates, performance findings, and recommendations.
  • Collaborate with internal teams and outside vendors to complete implementations.
  • Facilitate workflow-discovery meetings, technical planning sessions, testing reviews, and post-implementation evaluations.
  • Ensure projects are completed within established timelines and meet documented business requirements.
  • Maintain project records and communicate delays, risks, scope changes, or resource constraints promptly.
  • Support leadership in developing an organizational roadmap for AI adoption, automation, integration, and digital transformation.
