About The Position

The Agency Relations Coordinator serves as a key liaison between Partner Agencies (PAs) and Feeding South Florida (FSF), managing agency relationships to ensure compliance, strengthen partner capacity, and support effective food distribution across FSF’s service area. This position evaluates agency performance, interprets and applies FSF, Feeding America; Florida Department of Agriculture; and Department of Health requirements, identifies compliance risks and service gaps, recommends corrective action, and provides guidance to agencies on matters that impact partnership status, program access, reporting and operational effectiveness. The role requires consistent exercise of discretion and judgement related to partner compliance, agency readiness, capacity building, and community service delivery.

Requirements

Bachelor’s degree preferred in public administration, social services or other related field; equivalent combination of education and directly related experience may be considered.
At least three years of nonprofit or government experience preferred.
Sensitivity to diverse populations with the ability to serve people in a compassionate, patient, friendly, and courteous manner, showing sincere interest in people’s concerns.
Ability to take initiative and drive projects through all phases, from planning and implementation to successful completion.
Effective communication skills, both written and verbal, with comfort and the ability to speak publicly.
Ability to manage time efficiently and to work independently with minimum supervision.
Ability to work cooperatively with other staff, volunteers, and agency personnel.
Experience and comfort with training and teaching others.
Ability to work under pressure in a fast-paced environment with multiple deadlines and responsibilities, while simultaneously keeping composure and ensuring excellent customer service.

Responsibilities

Ensure FSF guidelines and policies are met by PAs, including: Feeding South Florida Guidelines, Feeding America Guidelines, Inventory Control and Distribution Procedures, United States Department of Agriculture (USDA) Guidelines, Ceres/Agency Express, Oasis Insight, and all software systems necessary for everyday operation.
Plan, coordinate, and conduct annual, follow-up, and as-needed site visits for current and prospective Partner Agencies. Evaluate agency operations, assess eligibility and compliance, identify risks or deficiencies, determine required follow-up, and provide professional recommendations regarding approval, continued partnership, corrective action, suspension, or termination of partnership privileges.
Interpret and apply FSF, Feeding America, USDA, inventory control, distribution, and applicable regulatory requirements when advising agencies, resolving compliance issues and recommending corrective action for agencies that do not meet partnership standards.
Maintain, review, and update PA files, licenses, inspections, and permits.
Handle agency inquiries by telephone, email, visits, and/or correspondence.
Manage the prospective agency application process, including evaluating documentation, assessing organizational readiness, identifying eligibility concerns, and making recommendations regarding approval or next steps.
Provide referrals to individuals and agencies as needed.
Develop and deliver agency training, orientation, USDA compliance guidance, and program support based on agency needs, compliance trends, audit findings, and operational priorities.
Serve as a primary relationship holder for assigned Partner Agencies, providing support, resolving agency issues, strengthening engagement, and determining when circumstances require leadership escalation.
Lead agency file and account readiness efforts for audits and compliance reviews by evaluating records, identifying gaps, prioritizing corrective action, and ensuring agency documentation supports company and regulatory requirements.
Plan and execute agency-related initiatives, retention activities, distribution events, and capacity building efforts that support partner engagement and service delivery goals.
Collect and document participant stories, feedback, and survey responses to support program evaluation and reporting as needed.
Evaluate program data to identify service gaps, participation trends, compliance concerns, and program outcomes; prepare reports and recommendations for program leadership to support decision making, philanthropic and grant reporting activities as needed.
Independently manage an assigned portfolio of Partner Agencies, including prioritizing agency needs, maintaining regular communication, monitoring compliance and performance, documenting decisions, recommending corrective actions, and advising leadership on partnership risks, opportunities and capacity building.
Provide excellent customer service and seek to improve all PA relationships.
Identify PAs for program participation and distribution opportunities.
Prepare timely and accurate reports, spreadsheets, presentations, and narratives that analyze agency performance, compliance status, service outcomes, and partnership trends for use by leadership.
Represent Feeding South Florida at community meetings, partner events, and stakeholder engagements with professionalism, empathy, and a solutions-oriented approach.
Participate in planning and executing Mobile Pantry and Special Distribution events.
May be required to lead volunteers during such events.
Assist the Agency Relations Manager and Director of Partner Services with other duties as assigned.
