About The Position

Unified Health Partners, LLC holds Contract FA664326C0002 for HQ AFRC/SG Aeromedical Case Management Support. The official start date is 20 October 2026, following a 30-day contract phase-in. Personnel may be required to complete administrative functions or Government-provided training and may bill up to 2 hours per week for approved pre-start time. The base period of performance is 21 September 2026 – 20 September 2027, with four 12-month option periods. Overtime is not authorized on this contract unless approved by the client. This position carries the intake and data-entry throughput for the HQ AFRC case-management team, which is the highest-volume lane on the contract, handling approximately 1,350 data entry and case-status update actions per month. The role involves loading cases into the appropriate electronic system of record, completing technician-level inputs for front- and back-end management, keeping systems of record current as case status changes, coordinating evaluation scheduling with ACS and MTFs, and screening and routing incoming and outgoing correspondence. The individual will be cross-trained on all team functions and rotate to cover adjudication support during surge periods.

Requirements

  • Demonstrated experience processing and managing physical exams and medical standards — acquired through a military medical environment (e.g., USAF Physical Exam Standards / PES, aeromedical, or reserve medical unit) OR an equivalent civilian aeromedical, occupational health, or disability evaluation system (DES) environment.
  • Working knowledge of medical standards for retention, flying classes, Line of Duty (LOD) determinations, and special operational duty for the USAF; familiarity with the Aeromedical Waiver Guide (AMWG) and the Medical Standards Directory (MSD), applicable AFIs, and 422/469 and DES processes (or the ability to rapidly acquire it).
  • Basic knowledge of anatomy, physiology, disorders of human body systems, and emergency medical care procedures; proficiency with medical terminology and ICD-10 coding, used accurately when documenting cases.
  • Excellent oral and written communication; ability to translate complex medical/administrative instructions to service members at their comprehension level; project-management / workflow-tracking ability.
  • Proficiency with Adobe PDF and Microsoft Office (Word, Excel, Outlook, PowerPoint); proficient typing on both QWERTY and 9-key/numeric pads.
  • Able to work independently with strong time-management and prioritization skills; exceptional customer-service skills; fluent in reading, writing, speaking, and understanding English.
  • Demonstrated high-volume, high-accuracy data entry across multiple systems of record; proficient typing on QWERTY and 9-key/numeric pads; scheduling and appointment coordination experience.
  • Must complete Standard Form 85 (SF-85), Questionnaire for Non-Sensitive Positions, and must obtain and maintain a favorable Tier 1 (T1) National Agency Check with Inquiries (NACI), or meet the current requirements of DoDM 1000.13-M-VI.
  • Must sign the AFRC/SG Non-Disclosure Agreement (PWS Appendix C) prior to beginning performance.
  • Must complete DoD Information Assurance Cyber Awareness Challenge, HIPAA, Privacy Act, and Derivative Classification training (government-provided).

Nice To Haves

  • In-depth knowledge of Line of Duty (LOD) determinations and Medical Evaluation Board (MEB) processes.
  • Prior hands-on experience in a USAF/AFRC/ARC aeromedical or reserve medical unit, or with the specific systems above (AIMWTS, ECT, PEPP) — clears the System-Experience gate with proof rather than crosswalk.
  • Prior experience in a high-volume medical records, patient administration, or scheduling office.

Responsibilities

  • Load cases into the appropriate electronic system of record and complete technician-level inputs for front-end and back-end management.
  • Update AIMWTS, ECT, PEPP, MEDXS, and other systems of record with current case status as needed, especially when case status changes (~1,350 data entry / case status update actions per month, including PSC tracking outside of ECT).
  • Ensure accuracy of data entry and case processing; correct identified errors within the timeframe established in the Services Summary.
  • Review all cases submitted from reserve medical units (RMUs), the Aeromedical Consult Service (ACS), and Recruiting Services (RS), and ensure pertinent data is included with case results.
  • Coordinate and assist with scheduling evaluations using all available resources — ACS, the nearest MTF to the member, and outside civilian agencies (~81 scheduling and coordination actions per month, including IFC/MFS appointments).
  • Screen, review, and route incoming and outgoing correspondence, materials, publications, regulations, and directives (~432 actions per month); identify items requiring escalation to designated Government personnel, referral to appropriate staff, or rerouting to other organizations.
  • Perform clerical and administrative services, including the use of automated programs and software to produce required databases, spreadsheets, and graphics.
  • Prepare recurring and some nonrecurring correspondence, reports, and other documents; review and finalize correspondence and documents prepared by others in handwritten or electronic drafts.
  • Track cases through the review process and keep RMUs and the Chief, Medical Standards informed of case status.
  • Complete administrative due-outs as directed (~702 per month, aligned with final disposition compilation).
  • Cross-cover adjudication support, final disposition compilation, and the unit/member help desk as directed to balance workload.
