About The Position

Open Doors Academy (ODA) provides year-round out-of-school programming that helps scholars in grades K–12 build academic skills, explore new opportunities, strengthen relationships, and prepare for bright futures. Each year, more than 1,900 scholars and their families across Northern Ohio engage with ODA through afterschool, summer, family engagement, and enrichment programs. Open Doors Academy is seeking an exceptionally strong writer and highly organized professional to serve as Advancement Coordinator. This role supports ODA’s advancement efforts through donor stewardship, advancement operations, communications, and project coordination. Working closely with the Senior Director of Engagement, the Coordinator helps move strategic advancement priorities forward by maintaining donor systems, coordinating stewardship activities, drafting advancement communications, and ensuring important projects, follow-up, and next steps remain organized and on track. The Coordinator serves as a key member of the Advancement team and helps translate advancement priorities into consistent action. Success in this role requires strong judgment, initiative, attention to detail, and the ability to work independently while maintaining close communication with leadership. This role is ideal for someone who combines excellent writing with strong organizational instincts, communicates professionally with a wide range of people, and takes pride in helping mission-driven work move forward with consistency, thoughtfulness, and care.

Nice To Haves

  • 5+ years of relevant professional experience
  • Experience with donor databases or CRM systems
  • Experience in nonprofit advancement, donor relations, communications, project coordination, or related work
  • Familiarity with Microsoft Office and web/social content tools

Responsibilities

  • Maintain accurate donor records and stewardship activity in ODA’s CRM system
  • Prepare donor and engagement reports
  • Coordinate timely donor acknowledgements and stewardship follow-up
  • Track donor engagement and help maintain organized stewardship systems
  • Respond professionally to routine donor, volunteer, and advancement-related inquiries
  • Draft donor newsletters, appeals, donor stories, stewardship communications, and annual report content
  • Proofread and help maintain clear, consistent messaging across advancement communications
  • Support selected advancement-related social media and website content
  • Coordinate timelines and support production of advancement communications
  • Help keep advancement priorities, donor follow-up, and communications projects organized and moving forward
  • Track next steps and deadlines related to donor meetings, stewardship, board engagement, and fundraising activities
  • Prepare donor lists, reports, and supporting materials
  • Communicate regularly with the Senior Director of Engagement regarding priorities and follow-up needs
  • Support select donor and advancement-related events throughout the year
  • Assist with donor, volunteer, and partner engagement activities that support advancement priorities
