About The Position

The Admitting/Registration Clerk serves as one of the first points of contact for patients and visitors at Hopedale Medical Complex. This position plays an important role in creating a positive patient experience while ensuring that patient demographic, insurance, and financial information is collected accurately and efficiently. The Admitting/Registration Clerk is responsible for greeting patients and visitors, answering telephone calls, completing patient registration, verifying and documenting insurance information, collecting payments, and assisting patients and families with questions regarding hospital services and financial responsibilities. The ideal candidate will be professional, compassionate, detail-oriented, and able to communicate effectively with patients and families, including those who may be experiencing stressful or sensitive situations.

Requirements

  • High school diploma or equivalent required.
  • Previous medical office, hospital registration, admitting, or healthcare reception experience required.
  • Knowledge of medical terminology required.
  • Knowledge of patient registration and documentation procedures required.
  • Knowledge of basic insurance procedures and third-party medical insurance requirements required.
  • Strong computer skills and proficiency with Microsoft Office and other computer-based systems required.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Excellent attention to detail and organizational skills.
  • Ability to accurately collect, enter, review, and maintain confidential patient information.
  • Strong problem-solving and analytical skills.
  • Ability to remain professional and courteous when interacting with patients and families in stressful situations.
  • Ability to work independently with general supervision.
  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced healthcare environment.
  • Ability to maintain strict confidentiality and comply with HIPAA and hospital policies.

  • Ability to type approximately 35–45 words per minute preferred.

Responsibilities

  • Greet patients, visitors, and guests in a professional and courteous manner.
  • Answer and screen incoming telephone calls, determining the nature and urgency of inquiries and directing calls to the appropriate department or staff member.
  • Register patients and accurately enter demographic, insurance, and billing information into the CPSI computer system.
  • Research missing or incomplete information and obtain required signatures and documentation.
  • Verify and update patient information as necessary.
  • Explain hospital registration, billing, and financial procedures to patients and their representatives.
  • Provide patients and families with information regarding billing, patient rights, the complaint process, visiting hours, and other hospital policies.
  • Distribute hospital-specific literature and educational materials as appropriate.
  • Collect and accurately record patient payments and forward appropriate information to the Patient Accounts Department.
  • Review and maintain orders received from referring physician offices.
  • Prepare estimates of patient financial responsibility and communicate expected payment amounts to patients.
  • Maintain knowledge of HMC payment policies, available payment options, and financial assistance programs.
  • Assist patients and families with questions regarding insurance coverage, billing procedures, and financial responsibilities.
  • Maintain confidentiality of all patient information and comply with HIPAA requirements.
  • Keep the registration and waiting areas clean, organized, and welcoming.
  • Order and maintain department supplies as needed.
  • Demonstrate professionalism, compassion, and respect when interacting with patients, families, visitors, physicians, and coworkers.
  • Maintain accurate and timely documentation in accordance with hospital policies and procedures.
  • Perform other related duties as assigned.
