About The Position

Under the direction of the Dean of Community Education, this position collaborates in the general operations of the Dual Enrollment team and Community Education programs, including Integrated Education & Training (IET), Adult High School (AHS), GED, and HSED programs. The Associate Dean may also provide an oversight role in one or more of Community Education Hub’s operations. This position emphasizes direct support for high school programs, dual enrollment and dual credit, and transitions from community education programs into the college’s seven (7) major pathways. The Associate Dean will also provide a support role to the dean in the oversight of all grants related to supporting Community Education. This role performs broad administrative and staff support duties of a highly responsible and confidential nature to assist in the administrative operations of the college. It has primary responsibility for coordinating an important department or unit function, requiring comprehensive knowledge of departmental and college operations, policies, and procedures, and the exercise of independent judgment. The position handles complex issues and problems, referring only the most complex issues to higher-level staff. Responsibilities include receiving and responding to correspondence, receiving and directing visitors, providing support in various functions, collecting, reviewing, and analyzing data, and preparing reports, charts, and budgets. The role responds to or routes routine inquiries, schedules and coordinates meetings, travel, and other group activities, and possesses advanced word processing, spreadsheet, and graphics software skills. The position works independently within established procedures and operates under the general supervision of the Director of Admissions and Testing.

Requirements

  • High School Diploma and one (1) year (12 credits) additional coursework in a postsecondary school
  • Must have a minimum of four (4) year of office experience

Responsibilities

  • Inputs ACT Scores
  • Processes Admissions applications
  • Updates students admittance status
  • Process readmission applications and program change forms
  • Organize and coordinate complex admission applications according to established college and departmental policies and procedures; review admission applications for accuracy and completeness and request additional materials, if needed
  • Research accreditation of United States institutions to determine if the institution is accredited and to determine the transferability of coursework
  • Enter transfer credits for students from both domestic and international institutions
  • Enter international student data into SEVIS for the purposes of generating I-20’s
  • Maintain the integrity of admissions databases by monitoring error reports and making appropriate corrections
  • Enter, update, maintain and purge applicants’ credentials
  • Verify student graduation dates
  • Validate college grade point average on transcripts
  • Review domestic and international credentials to determine application readiness
  • Merge prospect data into application database and verify student record, student identification number and related student information to prevent duplication of application and/or student identification number
  • May manage and create user accounts, set-up security access and create and reset passwords for the common application, under the guidance and request of the Director
  • Test new software and business systems, as necessary
  • May attend meetings and committees both on-campus and external to coordinate information
  • Communicate with staff within the division of Enrollment Management to verify student history, to coordinate data records and to meet the enrollment goals of the university
  • Assign and monitor the work performed by work study students assisting in the processing area
  • May participate in interviews and make recommendations on the hiring of new work study students
  • Serve as agent on the office email and IM queuing system
  • Provide routine information to callers and when appropriate, field inquiries to appropriate staff person
  • May provide support for status calls
  • Provide back-up support and/or coverage for other processors
  • Create training manual for specific duties to ensure proper coverage during absence
  • Assist in providing on-the-job training to new and current staff members
  • Respond to inquiries on admission status, transcripts programs
  • Refer callers to other resources or offices as appropriate
  • Communicate with advisors and other departments to assist with problems, procedures and general information
  • Implement the District's matriculation policy by determining which portions of the program each new applicant requires
  • Determine through verbal and written responses if the applicant requires testing, orientation, counseling or all facets of the program
  • Prepare letters, student attendance verifications, notices and other correspondence as needed
  • Operate a variety of standard office equipment including a computer
  • Troubleshoot the registration system using computer terminals and printers
  • Train students to use the on-line registration terminals
  • Provide support for special programs and off-campus registration
  • Performs other related duties as required for the efficient operations of the division
