About The Position

The Admissions Supervisor is responsible for maximizing Adult residential bed occupancy while concurrently managing placement prioritization for patients associated with outside referrals, internal transitions, and direct patient inquiries. This role is responsible for managing and maintaining the waitlist and ensuring all patients are placed in a Fora Health service within a timely basis. This role is integral to maintaining responsive and professional communication with all referents in a timely manner. This position will oversee the residential admissions process and partner with the clinical team and marketing to ensure outreach efforts are synchronized and timely with bed availability. The Admissions Supervisor must negotiate the conflicting demands of staffing, scheduling and program needs, the limitations of reimbursement and the budgetary constraints of the agency. It is essential for these functions to be accomplished in a way that is always collaborative and respectful.

Requirements

Certified Alcohol and Drug Counselor II minimum.
QMHA or higher preferred.
Three years supervisor experience preferred, or relevant experience.
Undergraduate degree in counseling or human services administration preferred.
Proficient in Microsoft Office Suite, specifically Outlook, Excel and Word.
Detail-oriented and organized.
Demonstrated effectiveness in presenting ideas, transmitting information, or convey concepts to individuals or groups of people of varying educational, cultural and experiential levels.
Ability to maintain professional boundaries with patients, the community, and other staff members.
Ability to work collaboratively with patients, other treatment program staff, team members, and to treat everyone with respect and dignity at all times.
Written and organizational skills to complete all required documentation.
Communicates information effectively in writing and verbally.
Strong organizational skills and attention to detail.
Displays initiative and problem-solving skills.
Intermediate knowledge of substance-use disorders.
Marked ability to demonstrate and utilize self-awareness.
Intermediate understanding of mental health disorders and symptom presentation.
Comfort in goals and targets and developing alternate strategies to meet such goals.
Proficient working under deadlines and in conditions of crisis.
Maintain confidentiality of sensitive information and documents.
For employees with a history of substance use disorder, Fora Health’s policy requires certification of a minimum of two years of sobriety for this position.
Ability to pass a pre-employment or for cause drug tests.
Ability to pass DHS criminal background.

Responsibilities

Provides support and supervision to a team of administrative admissions staff as well as certified alcohol and drug counselors.
Coordinates admissions for all Fora inpatient and residential programs.
Fosters an appreciation of collaboration among Admissions staff with other Fora services areas, and external agencies.
Operates department in a fiscally creative and responsible manner.
Provides ongoing training, supervision and conduct regular team meetings.
Oversees admissions process from initial inquiry to intake and identifies opportunities for improvement.
Completes ASAM assessments for potential patients to determine appropriate level of care and eligibility for treatment.
Manages the residential waitlist ensuring integrity of content and alignment with prioritization requirements, as well as OAR and CARF requirements.
Lead initiates impacting admissions while coordinating with Fora leaders and community partners.
Manages bed capacity, coordinating with clinical and administrative staff to optimize utilization and reduce waitlist times.
Identifies opportunities to strengthen community partnerships and streamline admissions.
Develop an understanding of all Fora services in preparation to answer general questions from referents, potential patients, parents, etc.
Return all daily phone calls and external emails within 48 business hours.
Ensure inflow of scheduled admissions matches the outflow of discharges for both Fora residential services and Fora Home.
Develop an understanding of all payor contracts and business opportunities.
Troubleshoot admissions barriers in collaboration with other departments.
Collaborate with Clinical managers to identify training needs and assessment quality.
Develop role descriptions, goals, and objectives for Admissions staff.
Demonstrate ethical behaviors by adhering to established professional codes of ethics that define the professional context within which the counselor works, in order to maintain professional standards and safeguard the client.
Adhere to Federal and State laws and agency policies and procedures regarding the treatment of substance use disorders.
Recognize the importance of individual differences that influence client behavior and apply this understanding to clinical practice.
Maintain (or complete) current addiction counselor certification or QMHP privileging.
Maintains healthy boundaries with clients and their families.
Attend staff meetings as scheduled.
Additional trainings to be completed as assigned in a timely manner.
Special projects and other duties as assigned.
Participate in ongoing supervision and consultation.
Provide leadership to the teams in such a way that the work environment supports and encourages values of the agency: honesty, empathy, respect, inclusion, unity.
Establish a therapeutic environment in which staff works together so that clients' needs, individual circumstances, and culture determine the optimal clinical approach.
