About The Position

Viterbo is seeking an Admissions Counselor to focus on recruitment activities and the outreach of various undergraduate students seeking enrollment at Viterbo University. The counselor will provide high-level recruitment support through territory management, recruitment events, CRM utilization, and individual student/family follow-up. The admissions counselor will support university-wide recruitment goals, assist as needed with supervision of student staff, and collaborate closely with colleagues in academics, operations, and marketing to drive enrollment outcomes. This is a fulltime, 12 month postion.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Valid driver's license with satisfactory driving record.
  • Strong interpersonal skills, with the ability to manage both prospective student relationships and student staff with professionalism and care.
  • Working independently with complex responsibilities and managing competing priorities effectively.

Responsibilities

  • Implements best practices in recruiting prospective students in assigned territories focused on traditional, undergraduate students.
  • Organizes high school and college fair visits at select state and regional high schools in assigned territories.
  • Develops and maintains positive relationships with high school counselors, teachers, and other external stakeholders.
  • Maintain in-depth knowledge of all academic programs to provide accurate program information, curriculum, admission requirements, as well as information on financial aid, scholarships, and other sources of funding to prospective students.
  • Communicate by phone, text, e-mail, social media, video, and other electronic media to verify and follow up with students regarding their application status, admissions inquiries, and on campus visit events.
  • Utilize Recruit CRM to contact, track, and record interactions with prospective students.
  • Assists in small and large group presentations to visiting prospective students.
  • Collaborate with faculty and academic leaders in all academic programs to ensure alignment between recruitment efforts and program expectations.
  • Coordinate faculty participation in recruitment events, class visit opportunities, and strategic outreach initiatives.
  • Provide regular feedback to the academic programs and admissions leadership about prospective student trends, market intelligence, and enrollment challenges.
  • Partner with the Financial Aid Office, Advising, and other campus departments to create a seamless onboarding experience for prospective students.
  • Work a flexible work schedule that may include evening availability, travel, and overnight trips for recruitment purposes.
  • Work closely with Marketing and Communications to shape targeted messaging for undergraduate academic programs and broader audiences.
  • Contribute to content development for print materials, web pages, email campaigns, social media, and video storytelling that highlight the strength and outcomes of our academic programs.
  • Ensure messaging across all platforms is accurate, inclusive, and aligned with current program offerings and student experiences.
  • Act as a leader within the undergraduate admissions team by mentoring colleagues, contributing to training and onboarding, and providing strategic input across functional areas.
  • Maintain accurate and up-to-date records in the CRM and share insights on territory and program-specific trends to inform broader team strategies.
