Admissions Coordinator - School of Medicine The BYU School of Medicine is seeking dedicated and detail-oriented Admissions Coordinator to support the mission of educating spiritually grounded and scientifically rigorous physicians. Reporting to the Director of Admissions, the Admissions Coordinator play a vital role in managing the admissions process, coordinating recruitment events, and supporting the Admissions Committee to ensure a smooth and efficient applicant experience. This position serves as a bridge between prospective students, the admissions team, and the Admissions Committee, ensuring compliance with institutional and accreditation standards, and maintaining the highest standards of quality and attention to detail in admissions operations.

Requirements

  • Bachelor’s degree
  • Minimum of 2 years’ experience in admissions, student services, or related field
  • Strong organizational, workflow, and communication skills

Nice To Haves

  • Experience in medical school admissions
  • Familiarity with CRM systems (e.g., AMCAS, ZAP AMP, WebAdmit, Slate)
  • Knowledge of admissions policies, recruitment strategies, and privacy regulations (FERPA)
  • Experience coordinating recruitment events, webinars, or campus visits

Responsibilities

  • Admissions Process Management Manage applications, applicant data, and admissions CRM systems (AMP) with accuracy and efficiency. Ensure compliance with FERPA, LCME, and BYU School of Medicine policies. Administer training for screeners, interviewers, and staff; participate in applicant screening and final decision reporting. Collaborate on scholarship allocation and applicant onboarding processes.
  • Recruitment & Interview Coordination Plan and attend recruitment events; manage logistics and communications. Support strategic outreach and maintain admissions-related website and social media content. Schedule and coordinate interviews, campus visits, and “Second Look” events; ensure interviewers are trained.
  • Applicant & Committee Support Serve as primary contact for routine applicant questions and guidance. Support the Admissions Committee by organizing meetings, tracking decisions, and preparing data for reporting and strategic planning.
  • Office Management Maintain efficient office operations, staff/student training resources, and respond to inquiries. Assist with special projects and provide backup support to the Director of Admissions as needed.
