About The Position

The Admissions Coordinator at Cayuga Addiction Recovery Services' Residential Treatment Facility effectively manages the intake process and serves as the crucial first point of contact for prospective clients and their families. The Admissions Coordinator is responsible for verifying insurance coverage, conducting clinical screenings, and coordinating a smooth transition into residential care.

Requirements

  • Minimum Associates Degree in Chemical Dependency or Human Services with 2-3 years of experience in SUD treatment facility, with at least 1 year in intake/admissions.
  • Proficient in Excel, Microsoft Word, Teams, and Outlook email.
  • Ability to manage competing priorities and high intake volumes without sacrificing accuracy.
  • Systems oriented - can execute intake workflows with precision to minimize operational bottlenecks and administrative delays.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with healthcare professionals and resources.
  • Maintains confidentiality and adheres strictly to healthcare privacy regulations and internal policies to protect client and company data.

Nice To Haves

  • Bachelor's degree in Psychology, Social Work, Counseling, or a closely related Human Services field strongly preferred.

Responsibilities

  • Accurately and efficiently inputting applicant data into the Electronic Medical Record (EMR) systems.
  • Conduct initial clinical intake phone screenings to determine appropriate level of care and ensure they meet facility admission criteria.
  • Clearly explain program features, benefits, and protocols; convey compassion and authenticity in all communications.
  • Answer calls, emails, and referrals in a professional, empathetic manner; assess whether the individual meets program criteria.
  • Manage bed availability and maintain optimal occupancy rates through consistent, strategic management of the admissions process.
  • Ensure compliance with healthcare regulations and confidentiality laws, including HIPAA.
  • Establish strong professional rapport with internal and external healthcare providers, by consistently embodying the organization's mission, values, and core clinical standards.
  • Collaborate with clinical staff, program director and other service providers to ensure seamless client transitions.
  • Ensure timely review of admissions applications by medical and clinical staff.
  • Submit required clinical documentation to insurance carriers to obtain timely prior authorizations.
  • Attend multidisciplinary team meetings.

Benefits

  • Standard rate of $18.50 - $24.00 per hour plus benefits
