About The Position

The Admissions Coordinator is a vital member of the team, serving as the very first face our patients see when they enter the facility. You will set the tone for a welcoming, safe, and efficient admission process. In this role, you bridge the gap between community entry and clinical care. You will work alongside a multidisciplinary team and closely with Peer Support Specialists ensuring that every individual is met with dignity and trauma-informed care. Your primary tools are your administrative expertise, your calm demeanor, and your ability to rapidly process critical Medi-Cal and compliance documentation, ensuring the center captures essential revenue while maintaining a safe lobby environment. This role requires daily in-person engagement at the Indio Crisis Walk-in Center location.

Requirements

  • 1-3 years of experience in medical front office administration, patient registration, or healthcare billing.
  • Comfortable and skilled at executing fast-paced administrative tasks, verifying insurance, and delivering compassionate patient service.
  • High School Diploma or GED equivalent or higher is required.
  • Must be able to complete HIPAA, Corporate Compliance, and TVPA training upon hire to ensure a recovery-oriented approach across all job classifications.
  • Strong understanding of insurance verification, specifically Medi-Cal eligibility, Medi-Cal share of cost, and UMDAP processes.
  • Ability to remain grounded, empathetic, and professional behind security glass in a fast-paced, high-intensity environment.
  • Proficient with electronic medical records, data entry, and standard office software.
  • Must be able to pass standard health and drug screenings
  • Must clear background checks and government exclusion database checks (e.g., LEIE, SAM, NPPES) prior to hire and monthly thereafter.

Nice To Haves

  • Bilingual (Spanish): The ability to fluently and effectively communicate in Spanish with patients and families qualifies for a stackable pay differential.
  • Prior experience in a hospital ER registration desk, urgent care front office, or behavioral health admissions department.
  • BLS, CPR, CPI certificates a plus

Responsibilities

  • Serve as the initial point of contact for walk-ins, law enforcement, and emergency responders, modeling a calm and welcoming presence.
  • Efficiently complete initial patient demographics, sign-in sheets, and basic administrative intake paperwork to expedite the triage process.
  • Monitor the "Front Door" energy and communicate seamlessly with Peer Support Specialists to engage with participants who appear overwhelmed or anxious.
  • Actively check and confirm insurance eligibility prior to admission to ensure proper billing and revenue workflows.
  • Issue the Notice of Privacy Practices (NPP) brochure and securely obtain signed acknowledgments from patients or guardians during their first visit.
  • Ensure all admission paperwork is completed accurately to support revenue capture and CalAIM compliance.
  • Maintain meticulous, timely, and secure administrative records in the designated electronic health record (EHR) systems.
  • Maintain excellent remote communication (via phone/intercom) with the Triage RN and Unit Director to ensure smooth throughput from the lobby to the floor.
  • Assist peers in managing belongings logs and maintaining a secure, controlled lobby environment.
  • Assist with day-to-day administrative and office management functions to support smooth program operations and maintain an organized, professional environment.
  • Support monitoring and coordination of office, intake, and operational supplies; communicate needs to leadership as appropriate.
  • Assist with administrative coordination activities such as answering phones, routing messages, supporting scheduling workflows, and facilitating communication across teams as needed.
  • Provide general administrative support to clinical, operational, and leadership staff to help maintain efficient facility operations and patient flow.
  • Support organization of program documents, forms, logs, and administrative records in accordance with organizational and compliance standards.
