About The Position

The Admission Assistant supports the admissions process for the facility by coordinating referrals, assisting with resident intake procedures, maintaining admission records, communicating with hospitals and families, and ensuring a smooth transition for new residents. This position serves as a key liaison between referral sources, prospective residents, families, and facility staff while delivering exceptional customer service and maintaining compliance with regulatory requirements.

Requirements

  • High School Diploma or GED required.
  • Strong interpersonal and customer service skills.
  • Excellent verbal and written communication abilities.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Ability to work collaboratively with interdisciplinary teams.
  • Professional appearance and demeanor.

Nice To Haves

  • Associate degree in Healthcare Administration, Business Administration, Marketing, or related field preferred.
  • One (1) to three (3) years of experience in healthcare admissions, customer service, medical office administration, or long-term care preferred.
  • Experience with Medicare, Medicaid, managed care, and insurance verification preferred.
  • Experience working with electronic medical records (EMR/EHR) systems preferred.
  • Knowledge of long-term care admissions processes and healthcare regulations preferred.

Responsibilities

  • Assist with processing inquiries and referrals for long-term care, skilled nursing, rehabilitation, and other facility services.
  • Coordinate admission paperwork and collect required documentation prior to resident admission.
  • Communicate with hospitals, physicians, case managers, discharge planners, families, and other referral sources regarding admission status.
  • Verify insurance coverage, Medicare, Medicaid, and other payer sources as directed.
  • Schedule and coordinate facility tours for prospective residents and family members.
  • Prepare admission packets and ensure all required forms are completed accurately and timely.
  • Enter resident information into electronic health record (EHR) and admission tracking systems.
  • Maintain admission logs, census reports, referral records, and related documentation.
  • Assist with obtaining physician orders and other required medical information for admissions.
  • Collaborate with nursing, social services, therapy, and business office staff to facilitate timely admissions.
  • Follow up on pending referrals and maintain ongoing communication with referral sources.
  • Ensure compliance with HIPAA and all federal, state, and facility regulations regarding resident information.
  • Welcome new residents and families and provide orientation to facility services and procedures.
  • Support marketing and census development efforts through professional customer service and relationship building.
  • Perform other duties as assigned.
