About The Position

The role of the Admission Coordinator at CLEARFORK ACADEMY is to receive all inquiry calls about Clearfork Academy services. The Admission Coordinator provides information about Clearfork Academy services and screens calls to determine a potential client’s eligibility for treatment. For those calls who meet criteria for admission, it is the Admission Coordinator’s role to obtain verification of insurance benefits, either independently or in conjunction from billing and utilization review staff, in order to discuss financial contracts with guarantors. Once finances are established per company guidelines, the Admission Coordinator is responsible for completing the admission and all associated assessments and communicating all clinical data to the clinical team at the facility to ensure the highest level of success for the client.

Requirements

  • Bachelor’s Degree in related field of study (preferred)
  • 1 to 3 years work experience as an Admission/Intake Specialist, preferably in the field of chemical dependency and/or behavioral health.
  • Qualified Credentialed Counselor holding one of the following licensures: Licensed Chemical Dependency Counselor (LCDC), Licensed Professional (preferred)
  • Current CPR/FA certification
  • Current Handle with Care Physical Holding Certification
  • Knowledge of industry standards: organization, theory, principles, and research processes, accreditation and regulatory standards, ability to assess clinical care requirements based on psychotherapeutic and human development principles, scope of practice, and regulatory standards.
  • Knowledge of legal and ethical issues related to patient’s rights.
  • Knowledge of crisis intervention techniques.
  • Knowledge of community/regional mental health resources.
  • Knowledge of principles and practices of customer service.
  • Professional readiness: Issues related to self-awareness, diversity, ethics, and continuing education
  • Knowledge of PC and Mac software programs, particularly Microsoft Word and Excel is required.
  • Written and oral communication skills; must be able to concentrate on work amid distractions such as noise, conversations, and foot traffic
  • Must maintain self-control in volatile or hostile situations such as when verbally or physically confronted in an aggressive manner
  • Must be able to work independently with little direct supervision in an unstructured environment with multiple demands
  • Reading and writing level that can clearly express or understand complex concepts, assessments, directions and processes or sequences of events - level equivalent to at least two years of college.
  • Ability to represent the program well in interactions both inside and outside the facility
  • Demonstrates an understanding of the developmental milestones of adolescents and young adults.

Responsibilities

  • Establish and maintain trusting and professional relationships with referring parties.
  • Work closely with the Directors of Clinical Services to assist with assigning clients to clinicians.
  • Maintain accurate databases of incoming and outbound calls utilizing CRM systems such as Salesforce and Zoho.
  • Engage with referring parties and potential referring parties in a professional and collaborative manner to understand referring parties’ needs, being aware that many referring parties call in an effort to transfer clients to other programs or seek additional help for clients in need of multiple services.
  • Grows the company’s database of potential referral sources.
  • Participate with Directors of Business Development, Business Office, Clinical Services and/or nursing to identify and remedy any barriers to clients receiving services.
  • Be fully aware of all facility programs, their eligibility requirements, competencies, and strengths.
  • Complete screening forms and consult with clinical team to determine eligibility for service.
  • Perform insurance verifications to determine financial eligibility.
  • Track referrals daily and provide weekly and monthly reports to appropriate facility staff/departments.
  • Follow up with clients who have not successfully connected to services and document all outreach efforts.
  • Accurately processes patient payments and notifies billing office of payments to ensure proper account credit.
  • Schedule intake appointments and complete necessary admission paperwork and assessments.
  • Serves as liaison to business office/utilization review; coordinates insurance verification with business office/utilization review departments.
  • Coordinates communications and activities between clinical staff, nursing staff, and business development staff.
  • Performs other duties and tasks as required.
