About The Position

This position provides administrative support for Cedar Haven Recovery Home in the Fraser Valley and involves overall responsibility for the administrative functions in the Cedar Haven branch. This position ensures that the team is served in a timely, proficient, and grace-filled manner, facilitating excellent communication within the team, as well as to other parts of the organization and outside agencies. This role includes some direct support of the program participants, such as getting them oriented and well settled into the program. This is a permanent, part-time (22.5 hours per week) position. The starting range for this position is $25.01 to $27.33 per hour.

Requirements

  • Post-secondary education combined with several years of related experience.
  • Consideration may be given to alternate combinations of lived experience and education.
  • Good English skills (verbal, reading and writing).
  • Demonstrated analytical thinking and organizational skills.
  • Advanced experience in administrative environments.
  • Advanced computer skills (Excel, Word and Outlook).
  • At least 20 hours of training in one or more of these subjects: counselling; crisis and conflict resolution; psychosocial intervention for substance use disorders; and trauma-informed practice.
  • Completion of UGM’s Non-Violet Crisis Intervention training and all other mandatory training, including First Aid training/certification and Naloxone training/certification.
  • Willing to provide current vaccine information.

Responsibilities

  • Model Christ in word and deed.
  • Provide highly responsible and confidential assistance to the Manager, Program Operations at Cedar Haven.
  • Ensure effective administration of the Cedar Haven program, including wait lists, records, and data entry.
  • Act as the administrative and communication HUB for Cedar Haven team.
  • Compile and submit Cedar Haven program measures, ensure KPI data is accurate. Prepare other reports as required.
  • Assist team members with administrative and coordinating tasks. Maintain office supplies.
  • Lead all administrative functions related to the new program applications, ensuring accurate data entry and system integration across ShareVision, SharePoint and UKG.
  • Provide a supportive and caring presence to the residents as appropriate.
  • Prepare, edit, and proofread memos, presentations, and other materials such as the Cedar Haven handbook.
  • Track and reconcile petty cash and Visa statements for the Manager, Program Operations and Manager, Recovery Programs.
  • Assist Managers with purchases and tracking invoices.
  • Organize and maintain a proficient filing system in a central filing cabinet.
  • Act as a primary point of contact for external agencies and mission partners, coordinating visits and fostering strong relationships. Greet and assist donors, visitors and guests, ensuring a welcoming and professional front desk experience.
  • Manage and submit monthly revenue contracts, including rent collection, which working collaboratively with Ministry partners to ensure compliance and accuracy.
  • Ensure timely follow-up of action items to the Managers.
  • May communicate decisions to staff on behalf of the Manager.
  • Adhere to all UGM published policies, practices and procedures, including Occupational Health and Safety.
  • Provide operational support when necessary for on-site events and contribute to the overall coordination of farm activities, demonstrating adaptability in a dynamic farm environment.
  • Conduct water sampling in accordance with Fraser Health requirements regularly, ensuring standards are met and submitting results for regulatory compliance.
