About The Position

The Senior Administrator, Shared Services Operations is a centralized support role that enables Business Operations & Shared Services and its functions—People & Culture, Business Technology Solutions, Strategic Performance & Optimization, Procurement & Strategic Sourcing, and other shared services—to operate with consistency, efficiency, and scale. You will provide operational, administrative, systems, and program coordination support across an organization of approximately 1,500 employees. Serving as a flexible shared services resource, you will support workforce administration, divisional operations, compliance activities, systems coordination, reporting, and cross-functional initiatives that strengthen organizational effectiveness and operational continuity. By managing foundational operational execution and coordination work, you will enable leaders and functional teams to focus on strategic priorities, organizational improvement and enterprise initiatives. You will also support standardization, documentation, process improvement, and data integrity across Business Operations & Shared Services functions.

Requirements

  • Minimum of a High School Diploma or equivalent, plus at least 2 years of relevant experience
  • Demonstrated experience providing high-level support to senior leaders, preferably within technology, human resources or operations spaces.
  • Proven ability to maintain strict confidentiality and exercise sound judgment in sensitive situations
  • Experience tracking budgets.
  • Strong organizational, time-management, and prioritization skills with the ability to manage competing demands independently
  • Strong interpersonal skills and attention to detail
  • High level of customer service orientation and collaborative working style
  • Demonstrated project coordination, communication, and collaboration skills
  • Professional proficiency in MS Office suite (Excel, Word, PowerPoint, Outlook, Microsoft Teams and SharePoint).
  • Professional proficiency in spoken and written English

Responsibilities

  • Provide comprehensive administrative and operational support across Business Operations & Shared Services, including coordination of communications, reporting, meetings, shared resources, and divisional documentation.
  • Support budget administration by tracking expenses, submitting reclasses, invoices, and reimbursements in partnership with the Chief of Staff.
  • Maintain and manage the division’s SharePoint-based intranet, ensuring content is accurate, up to date, and accessible across all BOSS teams.
  • Execute operational and administrative support across core processes, including but not limited to workforce transactions, documentation workflows, employee programs, compliance activities, and systems administration.
  • Coordinate and support records management, reporting, payroll-related administration, leave and benefits processes, performance and learning system administration, and maintenance of confidential employee documentation.
  • Ensure data accuracy, documentation consistency, audit readiness, and adherence to established policies and processes across systems and workflows.
  • Troubleshoot routine operational issues, facilitate cross-functional coordination, and escalate complex or sensitive matters appropriately to ensure timely resolution.
  • Provide flexible, surge-based support for cross-functional initiatives, including operational priorities, system implementations, audits, organizational transitions, and high-volume periods.
  • Support reporting, dashboard maintenance, knowledge management, process documentation, and other operational projects that improve efficiency, consistency, and transparency.
  • Contribute to continuous improvement efforts by identifying opportunities to streamline administrative, operational, and shared-services processes.
