About The Position

The Admin Support Specialist provides administrative support across multiple departments and serves as the first point of contact for visitors, volunteers, vendors, and employees. This role is critical in creating a welcoming, professional environment and upholding MFB’s commitment to dignity, respect, and excellent service.

Requirements

  • High School Diploma or GED required.
  • Minimum of 2 years of administrative, customer service, or related experience.
  • Strong organizational, communication, and multitasking skills with excellent attention to detail.
  • Friendly, professional demeanor; able to work independently and as part of a team.
  • Proficiency in Microsoft Office, particularly Excel and Outlook, and the ability to learn new systems.
  • Demonstrated ability to work effectively with diverse populations.
  • Ability to pass a pre-employment drug screen and background check.

Nice To Haves

  • Associate’s degree or equivalent combination of education and experience.
  • Experience in training or coaching others.
  • Proficiency in conversational Spanish.

Responsibilities

  • Serve as the first point of contact, providing professional, welcoming customer service to visitors, volunteers, vendors, and staff via phone, email, and in person.
  • Answer and route incoming calls, respond to general inquiries, and manage front desk operations.
  • Receive, log, and process incoming mail, packages, donations, and payments with accuracy and confidentiality.
  • Maintain building safety and visitor protocols, including check-in procedures and badge administration.
  • Coordinate office operations, including supplies, equipment, outgoing mail, and express shipping services.
  • Manage meeting and event logistics, including room scheduling and setup.
  • Support volunteer operations and donor services by scheduling, training, updating databases, and providing general administrative assistance.
