About The Position

The Administrative Support Specialist delivers essential administrative services within a dynamic team of professionals for the South County Hub. The South County Hub provides comprehensive services to adults, children, adolescents, and families. We utilize an integrated approach that treats co-occurring mental health and substance use disorders, partnering with medical providers to support the whole health needs of the people we serve. This position is primarily based in La Pine, though travel to and working at other sites in Bend, La Pine and Redmond will be required on occasion. A typical schedule preferred for this position is Tuesday and Thursday, 8:00 a.m. to 5:00 p.m. and Wednesday, 8:00 a.m. to 12:00 p.m.

Requirements

  • Identifying opportunities to improve efficiency, streamline processes, and support effective office operations.
  • Using Microsoft Office and related business technology, including Word, Excel, PowerPoint, Outlook, and Teams, for document preparation, data tracking, scheduling, communication, and records management.
  • Providing professional customer service and communicating effectively with the public in person and by telephone.
  • File management, record keeping, and records management practices, including maintaining accurate and organized electronic and paper files.
  • Basic accounting, bookkeeping, or financial record support practices.
  • Working independently and exercising sound judgment within established guidelines.
  • Making appropriate decisions based on training, experience, and available information.
  • Resolving problems, analyzing information, and identifying practical solutions.
  • Tracking departmental issues and communicating operational information clearly and effectively.
  • Entering data and numerical information accurately and efficiently.
  • Maintaining electronic records, files, and databases with a high degree of accuracy and organization.
  • Establishing and maintaining effective working relationships with coworkers, staff, and the public.
  • Using office technology, computer systems, and standard business software to support administrative work.
  • High school diploma or GED equivalent; AND four (4) years of administrative support experience; OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.
  • Driving is a requirement for this position.
  • Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date.
  • Must have dependable transportation and be able and willing to drive throughout Deschutes County in sometimes adverse weather conditions.
  • Must be willing to work a flexible schedule when necessary, to meet client and department needs.
  • This position requires a Criminal Background check through the State Background Check Unit/Orchards, which may also include being fingerprinted.

Nice To Haves

  • Bilingual in English and Spanish language.
  • Knowledge of EHR software, specifically the EPIC/OCHIN platform.

Responsibilities

  • Provide advanced administrative and technical support for behavioral health programs.
  • Coordinate office and program support activities, ensuring work is organized, accurate, and completed in a timely manner.
  • Handle sensitive and confidential matters with discretion and sound judgment.
  • Interpret and apply County policies, procedures, and regulations in daily work and special assignments.
  • Work independently to resolve problems, respond to inquiries, and make decisions within established authority.
  • Monitor and communicate operational information, department issues, and follow-up items to support effective workflow.
  • Prepare, review, and edit records, correspondence, reports, and other administrative documents.
  • Manage or support special projects requiring coordination, research, analysis, and administrative follow-through.
