About The Position

The Administrative Support Specialist II provides intermediate-level administrative and clerical support to ensure the efficient operation of organizational and functional business units. This position performs a broad range of administrative duties supporting areas such as work order management, finance, production control, supply operations, and special projects. The Administrative Support Specialist II is responsible for collecting, entering, tracking, verifying, and maintaining data from multiple sources while preparing reports, correspondence, and other business documents. Working with minimal supervision, this position contributes to process improvements that enhance workflow efficiency and provides administrative support to internal teams and management.

Requirements

  • Average of three (3) years of administrative, clerical, office support, or program support experience.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Experience using automated office systems, databases, and electronic records management systems.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail with a high level of accuracy in data entry and document preparation.
  • Experience supporting federal government, Department of Defense (DoD), or healthcare organizations.
  • Experience using enterprise resource planning (ERP), work order management, financial, or supply management systems.
  • Knowledge of records management procedures and document control practices.
  • Experience supporting multiple functional departments within a fast-paced office environment.
  • Active Secret Security Clearance
  • High school diploma or equivalent required

Nice To Haves

  • Associate's degree in Business Administration, Office Management, or a related field is preferred.

Responsibilities

  • Perform a variety of administrative and clerical functions in support of work orders, finance, production control, supply operations, and special projects.
  • Gather, collect, verify, and maintain data from multiple internal and external sources.
  • Accurately enter and update information in government and commercial databases, spreadsheets, and automated information systems.
  • Maintain electronic and paper records while ensuring data accuracy, completeness, and confidentiality.
  • Prepare reports, statistics, spreadsheets, timelines, charts, graphs, and other management documents.
  • Draft, edit, proofread, and distribute correspondence, memoranda, meeting minutes, and other administrative documents.
  • Monitor administrative processes and recommend workflow improvements to increase efficiency and productivity.
  • Assist with developing and maintaining administrative procedures, tracking systems, and documentation.
  • Respond to internal and external customer inquiries and provide administrative information regarding office procedures and processes.
  • Schedule meetings, coordinate calendars, arrange conference rooms, and support special events as required.
  • Track assignments, deadlines, and project milestones to ensure timely completion of tasks.
  • Support records management activities in accordance with organizational policies and applicable regulations.
  • Perform other administrative duties as assigned.
