About The Position

We seek an exceptional individual to join our Anthropology team as the Administrative Support Coordinator II. The Administrative Support Coordinator II provides lead administrative support and oversees the day-to-day operations of the Department, including the Department Coordinators, Faculty (Tenured, Tenure-track, and Temporary part-time Lecturers), Staff, Students, Undergraduate student majors and minors, and Graduate students in the Master of Arts program. The Administrative Support Coordinator II delegates tasks to administrative support and student assistants so they can adhere to various timelines. Assists with document preparation for tenure-track hiring. Provides support to various departmental faculty committees and assists with planning events including, but not limited to, Department Retreats, Anthropology Day, and Commencement. Leads and directs student employees and monitors workflow. Department timekeeper for faculty and students. Reviews staff monthly timesheet. Reconciles procurement cards and budget accounts. Assists in the preparation of various university and departmental annual reports. Prepares course schedules and processes temporary appointments for lecturers and graduate assistants. Provide travel support for international travel. Serves as the Department Information Technology Coordinator (DITC) and issues student permits. Make purchases with the procurement card. Other duties assigned.

Requirements

  • High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent.
  • Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.

Nice To Haves

  • Bachelor's Degree from an accredited four-year college or university, with two years of Academic office setting experience.
